This role is accountable for performing all facets of the operations department, including tour reception, gifting, and contracts, in accordance with Travel + Leisure Standard Operating Procedures. Requirements

  • High School Diploma
  • Computer Skills Required
  • Proficient in the use of the Central Reservation System (CRS) or EPNY (preferable)
  • Proficient in Microsoft Word
  • Proficient in Microsoft Outlook
  • Proficient in Microsoft Excel
  • 3 years of general office experience & customer service experience
  • Experience equivalent to the education requirement may be accepted in lieu of the education requirement.

Nice To Haves

  • Proficient in EPNY

Responsibilities

  • Greet and qualify touring guests, collect and validate guest information, assign tours to Sales Agents, and provide information to the Sales & Marketing department.
  • Provide exceptional customer service, answer phones and guest questions professionally, and assist property owners with contract questions or concerns.
  • Distribute premiums to guests after presentations, and complete daily gift, tour, and contract reconciliation in all systems.
  • Enter all tour and gifting information into Central Reservations Systems / Epiphany system, run reports, and prepare and balance cash, down payments, and site stats for the Contract Department.
  • File and secure all documents per procedures, and maintain Property Owner Information per PII and PCI standards.
  • Prepare Timeshare Sales Contracts for the Sales Department and Property Owners, assist the Administrative Supervisor in supporting Sales Staff, and handle the preparation and maintenance of legal documents.
  • Assist the Supervisor in providing additional administrative support to internal departments, including Sales, Marketing, HR, and Resort teams.
  • Perform other duties as needed.
