About The Position

The School of Engineering, Department of Mechanical Engineering is seeking a dependable, personable individual to join our award-winning team as an academics coordinator. This individual will plan and coordinate day-to-day fiscal, administrative, and operational activities of an academic unit. Working with the accountant, senior academic advisor, and department chair, this person will report to the department administrator. We are looking for an individual with a history of successful customer service-related administrative employment, proven ability to project manage assigned tasks, worked with a variety of UNM fiscal tasks, and a willingness to work with others to make changes in scheduling and operational functions. The successful candidate will complete a variety of administrative support duties for the department. This requires a range of skills and a knowledge of UNM policies and procedures. Specifically, this individual will: Serves as a principal liaison between students and/or faculty, staff, other departments, and/or external constituencies on day-to-day programmatic, operational, and administrative issues. Resolves administrative problems, as appropriate, and/or refers problems to key faculty or staff for resolution. Monitors, reconciles, and assists with fiscal administration for the unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and purchasing; may assist with fiscal planning, including participating in seeking alternate sources of funding. Have previous experience in course scheduling, Kuali, and an understanding of UNM catalog. Will work with advising, department chair, and department administrator on course scheduling. Coordinates and/or facilitates seminars, meetings, special projects, faculty/staff searches, and evaluates the success of these events. Serves as UKG time keeper with knowledge of UNM policies related to time entry and payroll. May coordinate the activities of support staff, consultants, faculty, and/or volunteers engaged in implementation and administration of unit objectives. May serve as Campus Security Authority as outlined by the Clery Act. Ability to maintain confidential information (FERPA, HR). Ability to multi-task, i.e. assist faculty, staff and students in various tasks or answer inquiries, sometimes simultaneously

Requirements

  • High school diploma or GED
  • At least 5 years of experience directly related to the duties and responsibilities specified.
  • Completed degree(s) from an accredited institution that are above the minimum education requirement may be substituted for experience on a year for year basis.
  • Must be reliable and able to maintain a Monday thru Friday 8 AM-5 PM schedule.

Nice To Haves

  • Previous experience with monitoring, reconciling, and assisting with fiscal administration for the unit, including but not limited to budgets, funding, grants, contracts, payroll, employment, travel, and purchasing.
  • Previous experience in course scheduling, Kuali, and an understanding of UNM course catalog process.
  • Previous experience in coordinating faculty searches, seminars, meetings, and special events.
  • Demonstrated exceptional oral and written communication skills and the ability to collaborate effectively with a wide variety of constituents.
