About The Position

The Convention Service Manager is a full-time, on-site role based at The Bethesdan Hotel. This position is responsible for the efficient and professional coordination of any assigned convention or meeting group. The role involves building and maintaining strong client relationships, performing administrative duties relevant to account responsibilities in compliance with corporate guidelines, and documenting and organizing detailed requirements of each function. The manager will coordinate activities of various departments to service accounts, such as directing room service in the creation and delivery of VIP amenities. Communication with sales, front office, and reservations is crucial to coordinate and monitor guest room blocks and special reservation needs. The role also includes assigning banquet/meeting rooms set up based on client needs, reviewing banquet associates’ work, and monitoring in-house group activity. Establishing rapport with and entertaining meeting planners while promoting hotel facilities and services, conducting walking site inspections, and advising sales staff on accommodation capabilities are key aspects. The manager will assist sales staff in promoting the hotel, developing leads, and securing rebookings. Planning and conducting pre- and post-convention meetings with clients and departments, detailing events to include all food & beverage, set up, and audio visual needs, and asking appropriate questions of clients to ensure details meet group and hotel needs are also essential. The role requires documenting tracking of group activity and accessing/inputting data into a computer system to generate account history reports. Clear verbal and written communication to provide direction to staff is necessary, along with compliance with attendance rules and availability to work on a regular basis. Other job-related duties as assigned.

Requirements

Excellent communication skills, both oral and written.
Demonstrated proficiency in the Microsoft Office Suite at the intermediate level (Word, Excel, Outlook, and PowerPoint).
Demonstrated ability to work independently with minimal supervision.
Demonstrated ability to effectively manage multiple projects in a fast-paced, deadline-driven environment.
In-depth knowledge of hotel operations or a related field.
Ability and willingness to work evenings, weekends, and occasional holidays as required.
Comply with attendance rules and be available to work on a regular basis.

Nice To Haves

Catering Experience preferred.
In-depth knowledge of food and beverage preparation, presentation, catering service, and cost.
General knowledge of Hilton Tapestry helpful.
Hilton experience is a plus, but not required.

Responsibilities

Review banquet associates’ work to ensure accuracy.
Monitor in house group activity providing assistance as needed such as organizing exhibit set up.
Establish rapport with and entertain meeting planners while promoting hotel facilities and services.
Conduct walking site inspections throughout property.
Advise sales staff as to ability to accommodate client demands including phone requirements, fit of available space and materials such as booths.
Assist sales staff in promoting hotel, developing leads and securing rebookings.
Plan and conduct pre and post convention meetings with clients and respective departments.
Detail events to include all food & beverage, set up and audio visual needs.
Ask appropriate questions of the clients and make suggestions to ensure the details meet the group and the hotel’s needs.
