About The Position

The Convention Services Coordinator supports the Convention Services Manager in planning and executing group meetings, conferences, and events within the hotel. This role acts as a key liaison between clients and hotel departments, ensuring all event details are communicated clearly and delivered with a high level of service.

Requirements

  • Strong knowledge of hotel departments and event flow
  • Excellent organizational, multitasking, and time management skills
  • Outstanding communication and guest service skills
  • Ability to work flexible hours, including evenings, weekends, and holidays
  • 1–3 years of experience in hotel operations, catering, or event services
  • The ability to attend work predictably and regularly and to be punctual.
  • The ability to work varying schedules including evenings, weekends, holidays, and extended hours as business operations dictates
  • The ability to read and understand documents, drawings, and instructions (whether presented in written, oral, diagram or schedule form).
  • The ability to work with mathematical concepts and to apply concepts to practical situations.
  • The ability to work cooperatively with others.
  • The ability to deal politely and professionally with customers and coworkers.
  • The ability to perform several tasks at once.
  • The ability to follow directions or instruction.

Responsibilities

  • Coordinate all logistical aspects of group events, including meetings, conferences, banquets, and social functions
  • Prepare and distribute Banquet Event Orders (BEOs), group resumes, and detailed event documentation
  • Serve as the primary point of contact for clients for assigned groups, ensuring all requirements are understood and executed
  • Communicate event details to internal departments such as catering, culinary, banquet operations, front office, housekeeping, and audiovisual teams
  • Assist in conducting site tours and pre-convention meetings with clients
  • Monitor event setup, execution, and breakdown to ensure quality standards are met
  • Respond promptly to client requests and resolve issues to maintain guest satisfaction
  • Track changes, updates, and billing information related to group events
  • Maintain accurate records in hotel sales and event management systems
  • Support post-event follow-up, including feedback collection and reconciliation
  • Performs other duties as assigned by Convention Services Manager/General Manager.
