About The Position

The American Soybean Association (ASA) is seeking a motivated, highly organized Convention Project Coordinator to help plan and execute Commodity Classic, America's largest farmer-led, farmer-focused convention and trade show. This is an exciting opportunity for a detail-oriented project professional who enjoys managing multiple priorities, working with a variety of stakeholders, and helping create an exceptional experience for thousands of attendees. The Convention Project Coordinator is an important member of the Commodity Classic team and assists with the planning, coordination, and execution of the annual convention. The ideal candidate is highly organized, detail-oriented, deadline-driven, and comfortable managing multiple projects simultaneously. This person will work collaboratively with ASA staff, partner associations, vendors, sponsors, agencies, and other stakeholders to ensure projects and deliverables remain on schedule. This position offers the opportunity to contribute meaningfully to a large, complex, nationally recognized event while working as part of a collaborative, multi-association team.

  • Ability to travel for the annual Commodity Classic convention and approximately three to four multi-day planning meetings each year.

Nice To Haves

  • Bachelor's degree.
  • Familiarity with content management systems and email marketing platforms such as Constant Contact.
  • Familiarity with agriculture, farming, or agricultural associations is helpful but not required.

Responsibilities

  • Coordinate logistics and projects that shape the attendee experience, including optional tours, lobby entertainment, signage and wayfinding, show supplies, and onsite materials.
  • Research and recommend new attendee experiences, activations, and program elements.
  • Manage invitations and logistics for events such as the First-Timer Meet-Up and Media Reception.
  • Coordinate special programs and initiatives that may vary from year to year based on convention priorities.
  • Coordinate printed and digital content among staff and the convention's marketing agency.
  • Maintain the master communications and email calendar.
  • Prepare and distribute communications through Constant Contact and other platforms.
  • Help keep content and marketing projects on schedule.
  • Update website content and coordinate edits provided by team members.
  • Provide content and updates to the mobile app provider.
  • Coordinate photo and video assets from capture through distribution.
  • Serve as the primary administrator of the session management platform.
  • Coordinate the collection and distribution of session details and speaker information.
  • Assist with post-show evaluations, reporting, and program metrics.
  • Support the onsite execution of educational sessions.
  • Assist with fulfilling sponsorship deliverables.
  • Prepare post-event sponsorship reports.
  • Research potential new sponsorship opportunities.
  • Maintain master calendars of deadlines, deliverables, and key milestones throughout the convention cycle.
  • Help ensure staff and project partners remain on track and informed.
  • Support the Director of Conventions & Meetings and the Show Director.
  • Take on special projects and other responsibilities as assigned.
