About The Position

Control Solutions Group, Inc. offers complete building controls and engineering solutions, including precision design, software programming, graphics, and commissioning, to help clients improve building management for greater efficiency, comfort, and security. The Operations Coordinator will assist in a broad array of activities related to the management of Building Management Systems. These tasks include material management, dispatching, construction invoicing, issuing subcontracts and POs, reviewing and editing contract verbiage, tracking change orders and contract values, and maintaining various construction-related documentation logs. The individual must have a positive attitude, be a self-starter willing to take initiative, and wear several hats as part of a cooperative team. Experience with controls, BMS, BAS, DDC, Building Automation, Building Management, EPMS or Energy Management Systems is a plus. The position requires an individual adept with Microsoft Office and with some construction or mechanical contracting support and/or coordination experience.

Requirements

  • College graduate or minimum three years’ experience in HVAC, Controls or Construction Company
  • Excellent communication skills both oral and written
  • Excellent organization skills
  • Customer service oriented
  • Proficient with Microsoft Word, Excel and PowerPoint
  • Adept with Microsoft Office
  • Some construction or mechanical contracting support and/or coordination experience
  • Works well in a team environment
  • Able to work independently with minimal supervision

  • Skilled at planning, scheduling, and meeting deadlines

Responsibilities

  • Receive phone requests from customers for service/maintenance work and price quotes
  • Dispatch all service technicians
  • Review technician work orders for contract compliance and additional work
  • Assist Safety Manager and ensure field personnel have proper safety equipment
  • Order warehouse parts and maximize profits by searching for best price on materials
  • Accounts Receivable - monitor and collect accounts receivable by contacting clients via telephone, email and mail; perform account reconciliations; maintain accounts receivable files and records, produce monthly reports, investigate and resolve customer irregularities and disputes
  • Generate customer invoices
  • Set up and renewal of contracts
  • Contracts review and mark-up
  • Send out warranty expiration notifications/solicitations for contracts
  • Regularly required to lift and move up to 25 pounds
  • Assist Managers with all other duties as required
