Responsible for all aspects of the accounting, tax collection and reporting, computer hardware and software, benefits and risk management areas of TriCounty FS, Inc. Facilitates the efficient and timely flow of information to the General Manager, Board of Directors and other management personnel. Works closely with the General Manager on special projects relating to the areas of responsibility.

Requirements

• Requires a bachelor’s degree (B. S.) from a four-year college or university with a major in accounting or finance with a CPA License preferred; or one to two years’ related experience and/or training; or equivalent combination of education and experience.
• Requires the ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations.
• Also, requires the ability to write reports, business correspondence, and procedure manuals.
• Must be able to effectively present information and respond to questions from groups of managers, clients, customers, and the public.
• Requires the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume.
• Also, requires the ability to apply concepts of basic algebra and geometry.
• Requires the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
• Must be able to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
• While performing the duties of this job, the employee is regularly required to sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; and talk or hear.

Responsibilities

• Understands the overall accounting system. Maintains accounting records and prepares financial statements in accordance with Generally Accepted Accounting Principles.
• Responsible for leading the office staff in the completion of the monthly financial statement.
• Monthly Controller Responsibilities: Complete A/R Reconciliation, Run sales report on Regular Sales (IN 084658) to make sure no station sales are charged to this Item number, Complete Swap Entry with Gavilon to determine receivable/payable on 28%, Record Thru-put on 28%/32% sales/transfers at the Hardin Terminal, Review Liquid Fuel Shrinks by completing worksheet Roxanne starts, Send Steve at Station Sales and Gross Margin Report on Station Products, Review account analysis Kristi prepares for 199 Clearing Acct., 126 Accts. Rec. Other, 214 Accts. Pay. Other, 253 Accrued Expenses, Review and Initial Payroll Reports, Bank Reconciliations and General Journal Entries, Review MID-CO statement and discuss with Dave Lewis appropriate entries.
• Distributes the monthly interim financial statement along with any additional information to management, GROWMARK, Inc. and CoBank, Inc. by the 20th of each month.
• Assists the General Manager in presenting the monthly financial statement along with other financial information and reports to the Board of Directors at their monthly board meeting and to company staff as directed.
• Responsible for communicating, planning and providing all required information to the external auditors to complete an unqualified (clean) audit opinion of the company’s financial statements and records at the end of each fiscal year.
• Prepares entries necessary for recording monthly transactions and provides assistance with all office staff for entries assigned to them.
• Verifies that all trial balance accounts are accurate and is able to perform account analysis including shrink, expense and gross margin analysis to determine discrepancies and errors in the accounting records.
• Understands the inventory process and validates the accuracy of all products monthly.
• Maintains and validates subsidiary ledgers of the company, which includes the fixed asset ledger, the stock ledger, payroll ledger and the patronage ledger.
• Responsible for the reconciliation, review, validation and analysis of general ledger accounts monthly.
• Oversees the annual budget process including the compilation of budget reports from information provided by the secondary management staff.
• Processes patronage based on rates approved by the Board of Directors at the annual audit board meeting and oversees the timely distribution to patrons. Also, possess an understanding of the rules and requirements necessary to qualify for patronage refunds.
• Responsible for preparing all company tax returns and tax related documents and making tax payments on a timely basis. This includes but is not limited to the following tax returns and tax forms: Sales tax return, prepaid sales tax return, tire tax return, distributor tax return, receiver tax return, fertilizer tax return, federal gas tax return, unclaimed property tax return, 1099 forms and transmittal to the IRS and federal and state income tax returns.
• Responsible for reviewing and maintaining security dealing with cash management activities, including wiring procedures and instructions for local banks and CoBank, Inc.
• Responsible for securing the financial records of the company, which includes providing credit card security for patrons and meeting the requirements of the credit card companies.
• Provides leadership to the office staff at the main office and remote locations.
• Communicates changes and updates with the office staff relating to tax laws, computer programs and administrative rules.
• Provides the office staff the opportunity for training through GROWMARK, Inc. classes and internal meetings.
• Supervises assigned staff and reviews annually individual office staff performance during the fiscal year.
• Understand the company offered employee benefit package.
• Able to explain the benefit package to employees and familiar with the forms required to be completed and submitted.
• Able to answer employee questions regarding the employee benefit package.
• Able to complete the required claim forms and yearly reporting for all worker’s compensation insurance claims.
• Supports and plans with the assistance of the IT Manager the technology requirements of the company.
• Consults with the IT Manager to plan and provide all technology related hardware and software required to support sales and accounting functions of the company.
• Familiar with all hardware and software used in accounting functions.
• Able to assist in evaluating hardware and software problems and determining which support person to contact to resolve those problems.
• Proficient in the Office Suite of computer programs (Excel, Word and Power Point).
• Able to perform other financial and administrative functions.
• Provide required information to CoBank, Inc. to secure a seasonal and/or term line of credit.
• Works with the General Manager to maintain all necessary company insurance policies.
• Responsible for providing internal controls of accounting data and procedures that limit the ability of any employee to engage in theft or fraudulent activities.
• Responsible for safeguarding all company assets.
• Responsible for company record retention and organization.
• Knowledgeable of all company policies.
• Responsible for credit card security procedures including required scanning and reporting (PCI Compliance).
• Oversee the company forms to protect against running out of any critical accounting forms.
• Examine work for exactness, neatness and conformance to policies and procedures.
• Evaluate office production, revise procedures, or devise new forms to improve efficiency of workflow.
• Assist other office staff when problems and questions arise.
• Prepare government and regulatory agency reports.
• Able to keep sensitive or personal information of the company or other employees confidential.
