About The Position

The Contracts Specialist is responsible for the preparation, coordination, and timely submission of accurate bid and tender proposals in response to customer requirements. This role collaborates closely with cross-functional teams to gather technical and commercial information, ensuring the development of compliant, competitive, and high-quality submissions. The Contracts Specialist also supports the full contract lifecycle by maintaining accurate documentation, ensuring adherence to company policies and procedures, and delivering a professional, customer-focused approach throughout all interactions.

Requirements

  • Minimum of 2 years contract administration or other relevant experience.
  • Strong proficiency in Microsoft Access, Excel, and Outlook is required.
  • Demonstrated commitment to delivering excellent customer service by understanding and addressing client needs, and building strong, lasting relationships.
  • Proven ability to manage multiple priorities and concurrent projects effectively.
  • Exceptional attention to detail and accuracy, with strong organizational and time management skills.
  • Ability to work independently while collaborating effectively within a team environment.
  • Highly organized and deadline-driven.
  • Fully bilingual (French and English).
  • Industrial/safety product knowledge is an asset.

Responsibilities

  • Process all types of proposals (RFQ, RFP, amendments) received from internal and external customers.
  • Formulate competitive quotations, taking into account best available product mix and appropriate technical and commercial considerations for each individual situation. Ensure quotations are well documented with appropriate level of detail.
  • Identify potential vendors for required equipment and supplies, and evaluate vendor offers to match with tender specifications.
  • Manage the collecting and collating of all technical and project management aspects of the quotation, including cost elements and trading conditions.
  • Archive documentation regarding the tender, and record assumptions and decisions taken during the development process.
  • Regularly report the status of the quotations, and collect and analyze the reasons for tenders being lost and won.
  • Establish and maintain effective customer relationships to understand customer needs. Ensure a positive customer experience throughout the process.
  • With the support of management, review, provide recommendations and negotiate (when required) terms & conditions.
