About The Position

The Contracts Specialist will be responsible for reviewing proposed contracts to ensure consistency with quotations, maintaining various reports and databases, and processing export shipping documents. This role also involves interfacing with other business functions, supporting visitor request processing, and ensuring compliance with government regulations.

Requirements

  • High School diploma and a minimum of 8 years of prior related experience or Associate’s degree with a minimum of 4 years of prior related experience.
  • 5+ years contract management experience in defense manufacturing industry
  • Familiarity with large, complex multifaceted electronics design & manufacturing environment
  • Familiarity with defense aerospace industry & regulations and understanding of the role of procurement in complex industries.
  • Familiarity of FAR and DFAR regulations and of ITAR (International Traffic in Arms Regulation) and EAR (Export Administration Regulation)
  • Understanding of subcontractor solicitations and bid analysis/process.
  • Microsoft Office proficiency required
  • Must be a U.S. citizen, lawful permanent resident of the U.S. (e.g. Green Card holder), or a protected individual as defined by the International Traffic in Arm Regulations (ITAR).

Responsibilities

  • Review proposed contracts to ensure that the price, delivery schedule, specifications, terms and conditions are consistent with the quotation submitted.
  • Maintain and reconcile backlogs, bookings and sales reports.
  • Maintain Salesforce, reconciling to bookings reports.
  • Maintain customer, supplier and sales rep database in ERP system.
  • Maintain and monitor customer supplier portals, updating annuals Certs and Reps, invoicing, obtaining new purchase orders, and requests for quotations.
  • Assist with close-out of contracts including the final billing and retentions or disposition of customer furnished material. Makes final review and submission of required forms to ensure that all requirements.
  • Routinely interfaces with other business functions to assist with license requirements planning and addresses daily operations issues/questions.
  • Process all export shipping documents at time of shipment to ensure compliance; customs invoice, review packing lists, create shippers Letter of Instruction. Interface with freight forwarders/customers to arrange the shipment. Coordinate pickup dates to meet our monthly sales requirements.
  • Supports FSO with visitor request processing. Screen names in Visual Compliance, update visitor log and report findings for final FSO approval.
