About The Position

The Contracts Specialist supports Avicado’s client delivery by keeping contracts reviewed, signed on acceptable terms, organized, and understandable to Finance, consultants, Sales, and leadership. The role is a first-line reviewer of contracts, amendments, and RFPs; identifies and assesses risk; recommends responses and coordinates redlines and approvals. It also supports questions about software and IT agreement risk, client security questionnaires, and insurance requirements. The position builds and maintains a central Contracts Database, ensuring agreements are recorded with accurate key dates, terms, and obligations. It documents data-entry practices, captures renewal and termination provisions, manages the contract termination process, and expands database reporting so teams and leadership can understand contract obligations and risk. The Contracts Specialist owns contract templates and the template change-request process, incorporating approved changes with Legal’s feedback, maintaining current versions, helping Sales understand which terms may be adjusted, and identifying template gaps. Avicado describes itself as a technology consultancy serving construction owners and enterprise clients. The company promotes a remote, interactive work environment and an inclusive, high-performance culture.

Requirements

  • Hands-on experience reviewing professional services agreements, such as MSAs, SOWs, and change orders, ideally in a consulting or implementation environment.
  • Working knowledge of common risk terms, including indemnification, limitation of liability, SLAs, data and privacy, and insurance requirements.
  • Experience building or maintaining a contract repository or tracker and keeping it accurate over time.
  • Experience carrying a template or process change through to adoption across teams that do not report to you.
  • Ability to assess the scale of risk, recommend a response, and support decision-makers in weighing risk against deal value.
  • Experience working with an outside law firm or in-house counsel.
  • Comfort working with lower-tech tools such as SharePoint, spreadsheets, and Salesforce, as well as openness to new tools such as AI.
  • Responsive, innovative, entrepreneurial, empowered, performance-driven, accountable, even-tempered, and coachable.

Nice To Haves

  • Experience with public sector contracts and RFPs.
  • Experience with prime agreements and flow-down terms such as procurement codes and subcontracting commitments; construction experience is a plus.
  • Experience with client security questionnaires.
  • Experience reviewing software, IT, and vendor agreements.
  • Experience with international contracts.

Responsibilities

  • Review contracts, amendments, and RFPs from Sales and internal teams, including client, partner, vendor, and IT agreements.
  • Identify contract terms that carry risk, assess potential costs, and recommend responses, including redlines within standard positions.
  • Coordinate contract redlines and approvals between Sales and leadership, and escalate terms outside standard positions.
  • Support internal risk questions about software and IT agreements and client security questionnaires.
  • Serve as the first point of contact for internal insurance requirement questions, coordinate annual insurance renewal with the broker, and back up the Biz Ops Coordinator on certificate of insurance requests.
  • Build and maintain the central Contracts Database, recording key dates, terms, and obligations.
  • Regularly check database entries, correct errors at the source, and document data-entry procedures.
  • Record renewal, notice, and termination terms so Sales can manage renewals with the relevant contract terms and requirements in view.
  • Own the termination process by reviewing contract terms as needed, defining termination steps, and holding the team accountable for completing them.
  • Expand the information captured in the database to enable answers about contract terms and obligations and provide leadership with an aggregate view of risk.
  • Own contract templates, obtain Legal team feedback, and update templates after changes are approved.
  • Maintain the template change-request process and communicate request status and outcomes.
  • Maintain a single current version of each template and prevent use of outdated copies.
  • Work with Sales to distinguish low-risk adjustable terms from terms carrying operational or business risk that require review.
  • Identify gaps in templates and coordinate their resolution.
