About The Position

The Contracts Specialist is responsible for identifying, coordinating, and supporting government contracting opportunities that drive revenue growth for the Pestmaster franchise network. This role serves as a key liaison between government agencies, internal stakeholders, and franchise operations to manage the proposal and bid process from opportunity identification through submission. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities while ensuring accuracy and compliance with solicitation requirements. This position requires excellent written communication, strong administrative and project coordination skills, and the ability to work independently in a fast-paced environment. The Contracts Specialist role is a Remote position.

Requirements

  • High school diploma or equivalent required
  • 2+ years of administrative, proposal coordination, contract administration, or project coordination experience.
  • Strong Microsoft Office skills, including Excel, Word, and Outlook
  • Excellent written and verbal communication skills.
  • Exceptional organizational skills with strong attention to detail.
  • Ability to manage multiple deadlines simultaneously.
  • Ability to work independently with minimal supervision.
  • Excellent customer service and interpersonal skills.

Nice To Haves

  • Associate's or Bachelor's degree preferred.
  • Experience with federal, state, or local government contracting.
  • Familiarity with government procurement systems and contracting terminology.
  • Experience preparing government proposals or bid responses.
  • Experience working with franchise organizations or multi-location businesses.

Responsibilities

  • Monitor federal, state, and local procurement websites and third-party bid platforms to identify government contracting opportunities.
  • Evaluate solicitations, Requests for Proposal (RFPs), Invitations for Bid (IFBs), and other procurement documents to determine opportunity viability.
  • Review bid specifications and coordinate internal assessments regarding project scope, requirements, and feasibility.
  • Attend virtual and in-person pre-bid conferences and government meetings as required.
  • Maintain a pipeline of active opportunities and provide regular status updates.
  • Prepare, coordinate, and assemble complete bid packages and proposal responses.
  • Draft technical proposals, response documents, certifications, and supporting materials.
  • Coordinate pricing development with the Contracts Manager.
  • Ensure all submissions comply with solicitation requirements and are delivered before established deadlines.
  • Maintain proposal templates, standard documents, and contract files.
  • Coordinate notarization of bids, affidavits, certifications, and other required legal documents.
  • Assist with contract award documentation and administrative follow-up.
  • Maintain accurate contract records, deadlines, renewals, and compliance documentation.
  • Support franchisees and internal teams throughout the contracting process.
  • Track proposal outcomes and maintain historical bid documentation for future reference.
  • Partner with Operations, Franchise Support, and Field Operations Managers to gather information required for proposals.
  • Communicate effectively with government contracting officers regarding solicitation questions and clarifications.
  • Provide excellent customer service to franchise owners and internal stakeholders throughout the bidding process.
