About The Position

Scottsdale’s Parks and Recreation Department is seeking a Contracts Coordinator who brings a sharp eye for detail, a passion for service, and a collaborative spirit. This role supports the creation, coordination, and maintenance of multiple service, commodity, and performance contracts that keep our parks, programs, and facilities operating at their best. Reporting to a Parks & Recreation Manager, you’ll work closely with staff across the department and serve as the primary liaison to contracted vendors. The ideal candidate brings experience in providing exceptional customer service, balancing multiple priorities, creating and evaluating Requests for Proposals (RFPs) and Invitations for Bids (IFBs), managing the full contract lifecycle, processing contractor invoices, serving as a liaison to vendors, building and maintaining positive vendor relationships, and maintaining organized contract files and documentation. The anticipated starting salary for this position may be up to mid-point depending on candidate’s experience and internal equity. The full salary range is listed above and mid-point for this position is $81,577.60/annually.

Requirements

  • High school diploma or General Educational Development (GED) equivalent.
  • Three years of experience directly relating to contracts coordination within the scope of assignment.
  • Must possess and maintain a valid, unrestricted driver's license with no major citations within the past 36 months prior to the start date.
  • Every person employed by the City of Scottsdale shall reside in the State of Arizona during his or her active employment by the City, regardless of whether the employee is approved to remote work.

Responsibilities

  • Supports the creation, coordination, and maintenance of multiple service, commodity, and performance contracts.

  • Creates and evaluates Requests for Proposals (RFPs) and Invitations for Bids (IFBs), ensuring clarity, compliance, and alignment with project goals.
  • Meets with internal teams to define project intent, scope of work, and design requirements, translating operational needs into clear contract documents.
  • Manages the full contract lifecycle, from initiation and coordination to award, tracking, and completion.
  • Processes contractor invoices, reviewing for accuracy, and submitting for timely payment.
  • Serves as a liaison to vendors, contractors, and warrantors, representing organizational interests with professionalism and clarity.
  • Builds and maintains positive vendor relationships, ensuring expectations, timelines, and deliverables are clearly understood.
  • Maintains organized contract files and documentation, with strong attention to detail and compliance.
