About The Position

The Contract Support Specialist supports the day-to-day execution of maintenance renewals by accurately processing renewal transactions, maintaining clean contract and asset data, and supporting renewal documentation. The role operates within established procedures and systems, with guidance and review from team members. It is well suited for someone who is detail-oriented, motivated to learn, and comfortable working with data and documentation as part of a repeatable operational workflow.

Requirements

  • Training will take place in our Urbandale office, with the opportunity to transition to a hybrid schedule upon successful completion of training.

  • Prior experience in administrative support, data entry, order processing, or customer support
  • Exposure to contracts, renewals, billing, or operational workflows
  • Experience working with CRM, ERP, or contract management systems

Responsibilities

  • Process maintenance renewal transactions following documented procedures, including creating and updating quotes, sales orders, purchase orders, invoices, and credits.
  • Review renewal details to ensure information is complete, accurate, and aligned with system records before processing.
  • Complete assigned renewal work within expected timelines to support billing and forecasting schedules.
  • Prepare and update renewal-related documentation used for internal processing and customer communications.
  • Ensure required data and supporting information are in place at each stage of the renewal cycle.
  • Support renewal communications by ensuring documentation reflects accurate contract, asset, and pricing information.
  • Enter and maintain maintenance and asset data in internal systems using established data standards.
  • Validate data for accuracy and completeness, correcting errors when identified.
  • Follow consistent data entry practices to support reporting and downstream teams.
  • Identify missing information, data discrepancies, pricing questions, or process exceptions during renewal work.
  • Escalate issues clearly and promptly to the appropriate team member or lead rather than attempting to resolve outside of role scope.
  • Document issues as required to support resolution and process improvement.
  • Follow the Renewals Division Core Process to ensure consistent execution across all assigned work.
  • Use documented procedures, checklists, and guidance to complete tasks accurately.
  • Collaborate with team members to support overall renewal throughput and quality.
