The Contract Specialist II, under supervision, performs required reviews on University contracts, and coordinates with the Procurement Office to ensure timely execution. This role also processes departmental purchase requisitions as assigned and performs daily contract office processing requirements to ensure efficiency and accuracy, in accordance with PVAMU, TAMUS, and State guidelines. The position may coordinate review by the Office of General Counsel (OGC) if required, and follows contracts from origination to full execution, including purchasing if required. Additionally, the Contract Specialist II coordinates with department contract administrators to ensure effective contract monitoring and close-out as assigned, communicates with department personnel and vendors to address and resolve procurement and contract-related matters, and prepares bid/proposal documents. This role facilitates the selection process, issues purchase orders, and manages all aspects of the RFP processes, including pre-meetings, preparing, evaluating, analyzing, modifying, negotiating, and consummating contracts. The specialist maintains the contract database system for use in status monitoring of completed documents and reports, uploads and maintains completed contract files within the monitoring system, and performs document retention tasks. The role also serves as a liaison with university departments related to Office of University Compliance operations and selected external and internal audit activities. Performs other duties as assigned.
