About The Position

Lumens is seeking a highly organized and customer-focused Contract Project Specialist to join our growing Contract Sales team. As the primary post-sale partner for assigned contract projects, you will oversee successful project execution after orders are placed, ensuring a seamless experience for customers from project handoff through final delivery. Working alongside Regional Contract Sales Leads, Regional Sales Consultants, manufacturers, and cross-functional business partners, you'll coordinate project milestones, manage customer communications, resolve issues proactively, and help keep complex commercial projects moving forward. Success in this role requires exceptional organization, strong communication, sound judgment, and a collaborative mindset. Requirements

  • 2+ years of experience in project coordination, customer success, commercial operations, order management, logistics, or a related customer-facing role.
  • Experience supporting post-order project execution within a fast-paced commercial, contract, hospitality, construction, or project-based environment.
  • Strong written and verbal communication skills with a polished, professional customer-facing presence.
  • Excellent organizational and time management skills with the ability to manage multiple priorities simultaneously.
  • Strong problem-solving skills with the ability to adapt quickly and manage competing project demands.
  • Experience using CRM, ERP, or project management platforms such as HubSpot, Salesforce, NetSuite, or similar business systems.
  • Proficiency with Microsoft Office, particularly Outlook, Excel, and Word.
  • Demonstrated ability to build collaborative relationships with customers, manufacturers, vendors, and cross-functional business partners.

Nice To Haves

  • Interest in architecture, interior design, commercial furnishings, lighting, or the built environment is a plus.

Responsibilities

  • Serve as the primary post-sale point of contact for assigned contract projects, partnering with customers and cross-functional business partners to ensure successful project execution through final delivery.
  • Manage the post-order lifecycle of assigned commercial projects, coordinating activities following order placement through project completion.
  • Provide proactive communication regarding order status, production milestones, lead time updates, shipping activity, and overall project progress.
  • Coordinate closely with customers, manufacturers, and internal business partners to resolve post-order issues, facilitate timely solutions, and keep projects moving forward.
  • Coordinate post-order project activities, including change requests, returns, replacements, warranty claims, and other project support needs.
  • Build trusted relationships through responsive communication, professionalism, and consistent follow-through, delivering an exceptional customer experience throughout the project lifecycle.
  • Monitor project dashboards and prioritize activities to ensure projects remain on schedule and customer expectations are met.
  • Track critical project milestones, including estimated ship dates, high-value orders, aging service requests, and other post-order exceptions.
  • Collaborate with Sales, Customer Operations, Purchasing, Logistics, Finance, manufacturers, and other cross-functional business partners to support successful project execution and issue resolution.
  • Support commercial invoicing workflows and project closeout documentation in partnership with Sales and Finance.
  • Maintain proactive communication with customers and internal stakeholders throughout issue resolution and project completion.
  • Identify potential project risks early and collaborate with cross-functional partners to develop timely solutions that minimize project disruption.
  • Maintain accurate customer records, project documentation, and activity within CRM, ERP, and internal business systems.
  • Support customer communications that fall outside standard automated workflows.
  • Identify opportunities to improve project workflows, operational efficiency, and the overall customer experience.
  • Contribute to process improvement initiatives, special projects, and cross-functional efforts that strengthen the Contract Sales organization.
