We are looking for our first Contract & Procurement Administrator, who is highly organized and will help strengthen our contracting, purchasing, vendor management, and compliance processes across the company. This role is key to helping Louis Ptak's finance team strengthen controls, reduce contractual risk, improve purchasing consistency, and create a cleaner, more scalable process for subcontractors, vendors, owners, and project teams.

Requirements

  • 3+ years of experience in contract administration, procurement, vendor management, or subcontractor compliance, with subcontracting construction administration a plus not required.
  • Strong understanding of subcontract agreements, purchase orders, insurance certificates, W-9s, licensing, safety documentation, and compliance tracking.
  • High attention to detail, strong follow-through, and comfort managing multiple moving pieces across active projects.
  • Ability to communicate clearly with project teams, leadership, subcontractors, vendors, owners, and legal partners.
  • Comfortable reviewing contract terms, tracking redlines, identifying missing information, and escalating risk when needed.
  • A process-oriented person who enjoys organizing details, improving workflows, and creating consistency across teams.

Nice To Haves

  • Experience with Procore, Sage Intacct, or similar systems is a plus.

Responsibilities

  • Own the administration, tracking, and execution of subcontract agreements, purchase orders, and owner contracts.
  • Manage subcontractor prequalification, onboarding, compliance documentation, renewals, and vendor records.
  • Maintain accurate contract, vendor, PO, and commitment information in Procore, Sage Intacct, and related systems.
  • Coordinate contract reviews, redlines, approvals, and revisions with leadership, project teams, subcontractors, vendors, owners, and legal partners.
  • Create cleaner, more consistent processes for procurement, subcontractor management, contract administration, and compliance tracking.
  • Identify workflow gaps, flag contractual risks, and recommend improvements to strengthen controls and reduce risk.
