About The Position

Kallman Worldwide, Inc. (KWI) organizes official U.S. Pavilions at 20+ international trade shows annually, connecting American companies with global markets across aerospace, defense, and other key industries. KWI is seeking a Contract Officer to manage the lifecycle of our commercial agreements - including exhibitor contracts, vendor agreements, venue leases, and partnership terms. This role ensures our contracts are accurate, consistent, and properly tracked from drafting through execution and renewal, working closely with Project Managers, Sales, Operations, and Finance to keep the business protected and moving smoothly.

Requirements

  • Bachelor's degree required
  • 5+ years of experience in contract administration, paralegal work, or a related field.
  • Strong attention to detail and organizational skills.
  • Ability to handle confidential and sensitive business information with discretion.
  • Comfortable managing multiple contracts and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Ability to work independently and collaboratively across departments.

Nice To Haves

  • Paralegal certificate or related coursework a plus.
  • Experience with contract management software or CRM systems preferred.
  • Experience reviewing or supporting employment-related contracts and agreements is a plus.

Responsibilities

  • Review exhibitor and vendor contracts, ensuring accuracy and consistency with company terms and conditions.
  • Track contract status, deadlines, renewals, and expirations across multiple departments and trade shows.
  • Maintain a centralized contract repository and ensure proper documentation and version control.
  • Summarize key contract terms, obligations, and potential concerns for internal stakeholders.
  • Coordinate with Sales and Project Management teams to ensure contract terms align with sold packages and services.
  • Flag non-standard terms or requests for legal or management review.
  • Support the Request for Proposal process with contract-related documentation as needed.
  • Liaise with venues, vendors, and exhibitors on contract questions and clarifications.
  • Maintain and update contract templates as business needs evolve.
