About The Position

The Contract Coordinator serves as the central point of contact for all employment contract lifecycle activities within the Recruiting Department of a dynamic anesthesia physician practice management company. This role is responsible for drafting, coordinating, reviewing, and refining clinician employment agreements, memoranda of understanding, contract amendments, and related legal documents across a diverse workforce that includes but is not limited to Anesthesiologists, Certified Registered Nurse Anesthetists (CRNAs), and Certified Anesthesiologist Assistants (CAAs). The ideal candidate combines strong administrative acumen with a working knowledge of contract law and healthcare industry terminology, enabling them to collaborate effectively with leadership, legal counsel, and clinician candidates throughout the contracting process.

Requirements

  • Bachelor's degree in Business Administration, Legal Studies, Healthcare Administration, or a closely related field required.
  • Minimum 2–4 years of hands-on experience in contract administration, legal coordination, paralegal work, or a comparable role involving contract drafting and management.
  • Demonstrated ability to draft and review legally oriented documents with a high degree of accuracy.
  • Working knowledge of contract law principles, standard employment agreement structures, and common healthcare-specific provisions (e.g., restrictive covenants, compensation methodologies, malpractice tail coverage).
  • Exceptional written communication skills, with the ability to craft clear, precise, and professional contractual language.
  • Strong organizational and project management skills; ability to manage multiple contracts simultaneously in a fast-paced environment.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and document management or e-signature platforms.
  • High attention to detail and commitment to accuracy.
  • Ability to work independently and exercise sound judgment under minimal supervision.
  • Strong interpersonal skills and the ability to maintain productive relationships with internal teams, clinician candidates, and external legal counsel.
  • Understanding of HIPAA and applicable healthcare confidentiality requirements as they pertain to employment contracting.

Nice To Haves

  • Paralegal certificate or coursework in contract law is a plus but not required.
  • Prior experience in healthcare, anesthesia or physician practice management, or a staffing/recruiting environment — particularly with clinician (MD, CRNA, or CAA) employment contracts — strongly preferred.

Responsibilities

  • Manage the full lifecycle of clinician employment contracts — including those for Anesthesiologists, CRNAs, and CAAs — from initial draft through execution, including tracking key dates, deadlines, and renewal milestones.
  • Serve as the primary liaison between the recruiting team, legal counsel, and practice leadership to facilitate timely contract completion.
  • Maintain an organized repository of active contracts, amendments, and related correspondence; ensure version control and document integrity.
  • Coordinate the routing, review, and execution of contracts using electronic signature platforms.
  • Draft and distribute contract-related memoranda and internal communications to relevant stakeholders.
  • Assist in developing and refining contractual language for clinician employment agreements, non-compete provisions, compensation structures, call obligations, tail coverage clauses, and other standard contract elements applicable to Anesthesiologists, CRNAs, and CAAs.
  • Collaborate with recruiting leadership and legal counsel to brainstorm, propose, and refine contractual verbiage that balances organizational interests with clinician expectations.
  • Review and redline proposed amendments or counteroffers submitted by clinicians or their legal representatives.
  • Ensure all contractual language is consistent, legally sound, and aligned with current company templates and standards.
  • Conduct thorough reviews of existing contracts to identify areas for improvement, inconsistencies, or outdated provisions.
  • Recommend updates to contract templates and standard language in response to regulatory changes, market trends, or company policy updates.
  • Compare executed agreements to internal summaries to verify accuracy and completeness; flag discrepancies for resolution.
  • Prepare contract status reports and tracking dashboards for recruiting leadership on a regular cadence.
  • Support compliance efforts by ensuring all fully executed agreements are appropriately filed and accessible for audit purposes.
  • Assist with credentialing or onboarding paperwork as it relates to contract execution timelines.
  • Handle sensitive and confidential clinician information with the highest degree of discretion and professionalism.
  • Perform other administrative and project-based duties as assigned by the Recruiting Director.
