About The Position

Groundwater & Environmental Services, Inc. (GES), an industry leader with a reputation for excellence in providing environmental consulting, engineering, compliance, and technical field services to clients in diverse market sectors, seeks a highly organized and detail-oriented Contract Administrator to apply contract administration/management knowledge to challenging environmental projects for our Exton, PA office. The Contract Administrator will support the management and administration of contracts for state clients. This role is responsible for coordinating and preparing contract documentation, monitoring compliance requirements, assisting with procurement activities, tracking deliverables, and supporting project teams throughout the contract lifecycle. The ideal candidate will have experience working with government contracts, strong organizational skills, and the ability to collaborate with technical staff, project managers, legal teams, and government agency representatives.

Requirements

  • Associates or Bachelor’s degree in Business Administration, Environmental Policy, Finance, Legal Studies, or related field, or High School diploma with equivalent experience
  • 3+ years of experience in contract administration and management, preferably supporting government clients
  • Familiarity with government contracting processes and contract management requirements
  • Proficiency with Microsoft Office Suite, including Excel, Word, and SharePoint
  • Ability to work in a variety of databases
  • Strong customer service skills
  • Ability to manage multiple priorities and deadlines in a fast-paced consulting environment
  • Strong attention to detail and organizational skills
  • Excellent written and verbal communication skills
  • Strong analytical and problem-solving abilities
  • Excellent document management and recordkeeping skills
  • Ability to interpret contractual language and requirements
  • Collaborative team player with strong customer service orientation
  • Ability to maintain confidentiality and exercise sound judgment
  • Understanding of subcontractor procurement, management and compliance requirements including insurance certificates, SDB status.
  • Experience in the environmental consulting, engineering, or professional services industry

Responsibilities

  • Administer and maintain government client contracts, task orders, amendments, and related documentation
  • Support contract lifecycle activities including reviewing proposal submission, contract execution, renewals, modifications, and closeout
  • Review contract terms and conditions to ensure compliance with government regulations and company/client/program policies
  • Review and monitor contract deliverables, reporting requirements, insurance certificates, and subcontractor documentation
  • Assist with preparation, review and submission of subcontractor and vendor procurement submittmits and response qualifications packages, ensuring all contract flow-down requirements are met
  • Track key contract milestones, expiration dates, and compliance deadlines
  • Support subcontract administration activities including agreements, certifications, and compliance documentation
  • Assist with contract personnel and equipment rate card development, periodic reviews and inflationary rate renewals
  • Assist with audits and internal compliance reviews
  • Assist with preparation of reports and summaries related to contract status and performance
