Requirements

  • Strong attention to detail, organization and version-control skills, with the ability to manage multiple priorities and deadlines.
  • Clear written and verbal communication skills with the ability to coordinate across internal stakeholders, vendors and subject matter experts.

Nice To Haves

  • Bachelor’s degree in Business Administration, Finance, Legal Studies, Supply Chain or a related field preferred; an equivalent combination of education and relevant experience will be considered.
  • Three or more years of experience in contract administration, vendor management, procurement, legal operations or a related field preferred.
  • Experience managing contracts through multiple stages of the contract lifecycle preferred.
  • Experience with contract lifecycle management systems and electronic signature platforms preferred.
  • Experience in a multi-location or high-volume organization; multifamily, property management or real estate experience is a plus.

Responsibilities

  • Own the administrative contract lifecycle from intake through review, approval, execution, renewal, termination and closeout, serving as the central point of contact for contract status.
  • Prepare contracts, amendments, renewals, addenda, statements of work, NDAs and related documents using approved templates.
  • Review incoming contracts for completeness and coordinate review with business owners, Finance, Legal, Risk, IT and other stakeholders as appropriate.
  • Identify non-standard provisions, requested changes and material legal, financial, operational, data-security, insurance or liability risks, and route them to the appropriate decision-maker.
  • Coordinate redlines, revisions, approvals and electronic signatures while maintaining accurate version control and ensuring agreements are executed only by authorized representatives.
  • Maintain a comprehensive, centralized contract repository and distribute fully executed agreements to the appropriate stakeholders.
  • Track effective dates, expiration and renewal dates, notice periods, termination provisions, payment obligations, deliverables and required vendor documentation, proactively notifying owners of upcoming actions.
  • Manage renewals, extensions, amendments, terminations and closeouts while escalating missed deadlines, incomplete documentation and compliance concerns.
  • Administer the contract platform, approval process and approval matrix; develop templates, workflows, checklists and SOPs; and identify opportunities to streamline and automate contract processes.
  • Maintain contract dashboards and reporting, support audits, monitor property fee administration and partner with Finance and business leaders to improve visibility, compliance and accountability across the contract portfolio.
