About The Position

The Contract Administrator is responsible for coordinating, reviewing, and administering agreements that support the organization's operations. This role manages the contract lifecycle for agreements ensuring contractual accuracy, compliance with company policies, and timely execution. The Contract Administrator works closely with various departments to support business objectives while mitigating contractual risk.

Requirements

  • Bachelor's degree, Legal Studies, Paralegal Studies, or a related field.
  • Minimum five (5) years of experience in contract administration, contract management, legal support, or a related role.
  • Strong understanding of commercial contract administration and contract lifecycle management.
  • Ability to review contractual language, identify risks, and escalate issues appropriately.
  • Strong organizational skills with the ability to manage multiple priorities and deadlines.
  • Excellent attention to detail and accuracy.
  • Ability to maintain confidentiality and exercise sound judgment when handling sensitive information.
  • Excellent written and verbal communication skills in both French and English. English is required daily to draft, review and provide revisions contracts with suppliers, manufacturers, distributors or customers located outside of Québec. The employee needs to understand precise legal language and identify risks without relying on translation.
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook).

Nice To Haves

  • Paralegal certificate is considered an asset.
  • Experience supporting commercial agreements with manufacturers, suppliers, distributors, or healthcare customers is considered an asset.
  • Experience with contract management software is an asset.

Responsibilities

  • Draft, review, and administer a variety of commercial agreements, including manufacturing, supply, distribution, confidentiality, quality, and service agreements.
  • Coordinate the contract review and approval process with internal stakeholders, including Legal, Commercial, Supply Chain, Quality Assurance, Regulatory Affairs, and Finance.
  • Review existing contracts to identify inconsistencies, missing information, renewal requirements, and compliance risks.
  • Maintain the contract management system, ensuring contracts are accurately tracked, executed, and renewed within established timelines.
  • Monitor contract milestones, key obligations, renewal dates, and termination provisions, and communicate upcoming deadlines to business partners.
  • Prepare contract summaries, negotiation support documents, and reports for management.
  • Conduct research to verify contractual information, corporate documentation, and regulatory requirements, as needed.
  • Ensure contracts comply with applicable regulations, company policies, and internal governance standards.
  • Support negotiations by preparing documentation and coordinating revisions between internal and external parties.
  • Maintain complete and organized contract files while handling confidential and sensitive information with discretion.
  • Provide administrative and project support across the Legal Department, including assistance with intellectual property matters, marketing and advertising reviews, legal research, litigation, disputes, communicating with external law firms, and other legal initiatives as required.
  • Assist with continuous improvement initiatives related to contract administration processes and document management.
