About The Position

The Contract Administration Specialist is responsible for overseeing personnel security clearance processes and supporting vendor/subcontractor management activities in a federal contracting environment. This role ensures compliance with applicable security regulations, maintains the integrity of clearance operations, and supports vendor onboarding and performance management. The Specialist serves as a liaison between employees, vendors, internal stakeholders, and government agencies to ensure timely, accurate, and compliant execution of security and vendor-related requirements.

Requirements

  • High School Diploma
  • 1+ years of relevant experience
  • Strong working knowledge of personnel security processes and systems
  • Experience supporting vendor/subcontractor lifecycle functions, including onboarding and compliance tracking.
  • Excellent organizational and recordkeeping skills with strong attention to detail.
  • Ability to manage multiple priorities in a fast-paced, compliance-driven environment.
  • Strong written and verbal communication skills; ability to work effectively with internal teams, vendors, and government stakeholders.
  • Proficiency in Microsoft Office Suite and tracking/database systems.
  • Ability to handle sensitive and confidential information with discretion and professionalism.
  • Ability to understand and comply with all ConServe policies and procedures.
  • US Citizen or Lawful Permanent Resident Alien with three or more years as a Permanent Resident in the U.S.
  • Obtain and maintain Government Security Clearance.
  • No conflicts of interest with ConServe or our Clients.

Nice To Haves

  • Associate degree or equivalent combination of education and related experience preferred
  • Previous Security Clearance and/or Vendor Management related experience preferred
  • Active or prior U.S. Government security clearance preferred
  • Ability to work onsite in the Fairport Office as needed.

Responsibilities

  • Initiate, process, and manage personnel security clearance actions (e.g., new investigations, reinvestigations, upgrades, and reciprocity requests).
  • Prepare and submit clearance documentation following contract specific work instructions to government agencies.
  • Track clearance status and maintain accurate, audit-ready personnel security records.
  • Ensure compliance with agency-specific security requirements and company policies.
  • Serve as liaison between ConServe employees, government agencies, and investigators to resolve clearance-related issues.
  • Maintain strict confidentiality and safeguard sensitive and classified information.
  • Support onboarding and vetting of vendors and subcontractors, including due diligence and compliance verification (e.g., SAM registration, certifications, representations).
  • Maintain vendor files, agreements, and compliance documentation (e.g., W-9s, insurance certificates, business size certifications).
  • Assist with preparation and administration of subcontract agreements and modifications.
  • Ensure appropriate flowdown of contractual and security requirements to subcontractors.
  • Serve as a point of contact for vendor-related inquiries and coordination.
