About The Position

Under general supervision of the Program Administrator, perform office clerical work in the Medicaid Waiver Program. This includes filing documents, checking files for case reviews, and general review of case records for Medicaid Waiver documents. The role involves maintaining administrative compliance, preparing correspondence and reports, running reports for various program plans, reviewing audits, assisting with reminders and follow-ups on past due items, preparing and mailing program documents, coordinating business travel, maintaining the Program Administrator's daily schedule, taking messages, directing calls, arranging appointments and meetings, reserving conference rooms, obtaining data from the Atlas system, checking for duplicates, maintaining program files, assisting staff with administrative compliance, and performing daily computer key entry, typing error-free correspondence and reports, and preparing documents for mailing. The position requires timely completion of paperwork, tracking cases, keeping the Program Administrator informed of pending work and encountered problems, performing as a team member, providing backup to other positions, handling change with flexibility, successfully completing assignments, using office equipment appropriately, keeping the work area neat, observing safety rules, utilizing agency IT systems, complying with personnel policies, seeking to maintain and expand relevant knowledge, attending training, maintaining confidentiality, and maintaining good attendance and punctuality. Additionally, the role may involve driving to other offices, utilizing bilingual skills, and performing additional assigned duties.

Requirements

  • High school diploma or equivalent.
  • One year of clerical experience.
  • Knowledge of modern office practices and procedures including business correspondence, filing, and operation of office business machines.
  • Knowledge of Microsoft Office, Microsoft Teams, Adobe, Excel, and PDF Expert.
  • Knowledge and experience with database systems.
  • Ability to perform clerical work involving independent judgment, accuracy, and speed.
  • Ability to spell correctly, use proper English, make simple arithmetical computations.
  • Demonstrated ability to type/keyboard accurately (40 WPM).
  • Ability to follow verbal and written direction.
  • Good verbal and written communication skills.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work cooperatively and effectively with others.
  • Perform as a member of a team, answering questions, sharing expertise and generally contributing to the harmony of the team.
  • Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation.
  • Must have and maintain a safe driving record.

Responsibilities

  • Assist Program Administrator in maintaining administrative compliance.
  • Maintain confidentiality of program and all work-related matters.
  • Prepare and type correspondence and reports for designated meetings.
  • May attend meetings as requested by Program Administrator.
  • Run reports for Individual Program Plan (IPP) and Individualized Family Service Plan (IFSP) completion, Title 19 (T19) production by Unit, tracking information as directed by the Program Administrator.
  • Review and distribute audit sheets to the appropriate Case Management Staff and Program Managers as directed by the Program Administrator.
  • Review monthly audits keeping Service Coordinator (SC) and their Program Manager informed.
  • Assist with reminders as directed by the Program Administrator.
  • Follow-up with unit Program Managers on past due items.
  • Prepare and mail monthly Family Cost Participation Program (FCPP).
  • Coordinate business travel as needed, including completing purchases and making reservations (hotel, air and etc.).
  • Review travel claims for completeness and accuracy.
  • Maintain daily schedule for Program Administrator that may include scheduling meetings.
  • Take messages, direct people or calls to the appropriate person.
  • Arrange appointments and meetings and notify participants of time and place.
  • Reserve conference rooms for meetings.
  • Obtain data from Atlas system as directed by the Program Administrator.
  • Check for duplicates before routing material.
  • Maintain Program files.
  • Assist staff in maintaining administrative compliance.
  • Assist Program Administrator with correspondence to include on a daily basis: computer key entry, typing error-free correspondence and reports, and preparing documents for mailing.
  • Complete necessary paperwork, reports, etc. on a timely basis.
  • At the discretion of Program Administrator request outstanding reports, respond to request for information; compile appropriate documents for review purposes; track cases.
  • Keep Program Administrator informed of pending work, work in progress and problems encountered.
  • Perform as a member of a team answering questions, sharing expertise, and generally contributing to the harmony of the department.
  • Provide backup to other Program Administrator CST III positions as positions as requested.
  • Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.
  • Successfully complete all assignments.
  • Use office equipment appropriately.
  • Keep work area neat and orderly.
  • Observe all safety rules.
  • Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Seek to maintain currency and expand relevant knowledge.
  • Update knowledge through readings, briefings, and training.
  • Attend training sessions as required.
  • Maintain confidentiality of sensitive information.
  • Maintain good attendance and punctuality.
  • Drive vehicle/travel to other offices/locations to pick up, deliver documents and materials as needed.
  • Organize travel efficiently and effectively.
  • Utilize bilingual skills as able and as needed.
  • Perform different or additional work as assigned.
  • Ensure that consumer rights and dignity are maintained in the provision of services.
