About The Position

Under general supervision of the Program Administrator, perform office clerical work in the Medicaid Waiver Program. This includes filing documents, checking files for case reviews, and general review of case records for Medicaid Waiver documents. The role involves assisting the Program Administrator in maintaining administrative compliance, preparing correspondence and reports, running various program completion reports, and coordinating business travel. The technician will also manage the Program Administrator's daily schedule, arrange appointments, obtain data from the Atlas system, and maintain program files. Teamwork, flexibility, and adherence to agency policies and IT system protocols are essential. The position requires maintaining confidentiality, good attendance, and punctuality. Bilingual skills are a plus, and additional duties may be assigned.

Requirements

  • High school diploma or equivalent.
  • One year of clerical experience.
  • Knowledge of modern office practices and procedures including business correspondence, filing, and operation of office business machines.
  • Knowledge of Microsoft Office, Microsoft Teams, Adobe, Excel, and PDF Expert.
  • Knowledge and experience with database systems.
  • Ability to perform clerical work involving independent judgment, accuracy, and speed.
  • Ability to spell correctly, use proper English, make simple arithmetical computations.
  • Demonstrated ability to type/keyboard accurately (40 WPM).
  • Ability to follow verbal and written direction.
  • Good verbal and written communication skills.
  • Ability to establish and maintain effective working relationships with others.
  • Ability to work cooperatively and effectively with others.
  • Perform as a member of a team, answering questions, sharing expertise and generally contributing to the harmony of the team.
  • Ensure that consumer rights and dignity are maintained in the provision of services.
  • Full use of an automobile, possession of a valid California driver's license and liability insurance for the minimum amount prescribed by law or ability to provide for independent transportation.

Responsibilities

  • Assist Program Administrator in maintaining administrative compliance.
  • Maintain confidentiality of program and all work-related matters.
  • Prepare and type correspondence and reports for designated meetings, including collaborative meetings. May attend meetings as requested.
  • Run reports for Individual Program Plan (IPP) and Individualized Family Service Plan (IFSP) completion, Title 19 (T19) production by Unit, and tracking information as directed.
  • Review and distribute audit sheets to appropriate Case Management Staff and Program Managers.
  • Review monthly audits, keeping Service Coordinator (SC) and their Program Manager informed, and assist with reminders as directed.
  • Follow-up with unit Program Managers on past due items.
  • Prepare and mail monthly Family Cost Participation Program (FCPP).
  • Coordinate business travel, including completing purchases and making reservations. Review travel claims for completeness and accuracy.
  • Maintain daily schedule for Program Administrator, including scheduling meetings, taking messages, and directing calls.
  • Arrange appointments and meetings and notify participants of time and place. Reserve conference rooms.
  • Obtain data from Atlas system as directed.
  • Check for duplicates before routing material for Maintain Program files.
  • Assist staff in maintaining administrative compliance.
  • Assist Program Administrator with correspondence, including computer key entry, typing error-free correspondence and reports, and preparing documents for mailing.
  • Complete necessary paperwork, reports, etc., on a timely basis.
  • At the discretion of Program Administrator, request outstanding reports, respond to requests for information, compile appropriate documents for review, and track cases.
  • Keep Program Administrator informed of pending work, work in progress, and problems encountered.
  • Perform as a member of a team, answering questions, sharing expertise, and contributing to department harmony.
  • Provide backup to other Program Administrator CST III positions as requested.
  • Handle change well and be flexible and adaptable in dealing with interruptions, new priorities, and new assignments.
  • Successfully complete all assignments.
  • Use office equipment appropriately. Keep work area neat and orderly. Observe all safety rules.
  • Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Seek to maintain currency and expand relevant knowledge. Update knowledge through readings, briefings, and training. Attend training sessions as required.
  • Maintain confidentiality of sensitive information.
  • Maintain good attendance and punctuality.
  • Drive vehicle/travel to other offices/locations to pick up, deliver documents and materials as needed or Organize travel efficiently and effectively.
  • Utilize bilingual skills as able and as needed.
  • Perform different or additional work as assigned.
