About The Position

Under general supervision of the Program Manager, Medicaid Waiver, this role performs office clerical work within the Medicaid Waiver Program. Key responsibilities include filing documents, checking files for case reviews, and general review of case records for Medicaid Waiver documents. The position requires the ability to handle a hybrid work environment, communicate effectively, and maintain good attendance and punctuality. The role also involves utilizing agency IT systems, attending training, and ensuring consumer rights and dignity are maintained.

Requirements

  • High school diploma or equivalent.
  • One year of office clerical work.
  • General knowledge of office practices and procedures.
  • Ability to make accurate comparisons.
  • Ability to spell and punctuate correctly.
  • Ability to make simple arithmetical computations.
  • Ability to follow oral and written directions.
  • Ability to work cooperatively and effectively with others.
  • Maintain good attendance and punctuality.
  • Good verbal and written communication skills.
  • Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements.
  • Attend training sessions as required.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Observe all safety rules and comply with IRC’s Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.
  • Ability to handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.

Responsibilities

  • Perform office clerical work in the Medicaid Waiver Program.
  • File documents and check files for case reviews.
  • Perform general review of case records for Medicaid Waiver documents.
  • Comply with administrative requirements and provide administrative support for the Medicaid Waiver Program.
  • Complete necessary paperwork, case file reviews, and reports on a timely basis.
  • Prepare, track, and process out Institutional ('I') Deeming cases.
  • Complete and email all 'I' referrals to County Program Specialists.
  • Identify potential Medicaid Waiver cases.
  • Create working files of potential consumers for review and certification.
  • Perform monthly reconciliation of Basic category and 'I' cases.
  • Provide lists of completed monthly certifications and recertifications for input into the Uniform Fiscal System (UFS).
  • Verify and complete monthly Medi-Cal County renewals via email.
  • Update the UFS system to reflect issues with consumer's Medi-Cal eligibility renewal.
  • Follow up with Senior CSCs on various processes to ensure compliance with Medicaid Waiver program requirements.
  • Provide Senior CSCs/QIDPs updates on inquiries from Medi-Cal offices.
  • Print and file completed ICRC 90 forms for terminated consumers.
  • Assure that any closed case is terminated from the Medicaid Waiver program.
  • Work with the Medicaid Waiver Quality Assurance (QA) technician on prepping 'I' cases to replace miscellaneous terminations.
  • Update the Medicaid Waiver QA technician on case numbers for DDS records.
  • Mail out, track, and maintain appropriate storage of Notice of Action (NOA) letters.
  • Successfully complete all assignments arising out of the Agency’s Performance Contract.
  • Work cooperatively and effectively with others.
  • Perform as a member of the team, answer questions, share expertise, and contribute to team harmony.
  • Use office equipment appropriately and report the need for repairs.
  • Keep work area neat and orderly.
  • Observe all safety rules and comply with agency's Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.
  • Handle a hybrid work environment, communicating via telephone, video conference, email, and chat rooms.
  • Handle change well and be flexible and adaptable.
  • Maintain good attendance and punctuality.
  • Keep manager informed of pending work, work in progress, and problems encountered.
  • Utilize agency’s IT systems as assigned, maintaining security and following protocols.
  • Attend training sessions as required.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Assure that consumers’ rights and dignity are maintained.
  • Perform different or additional work as assigned.
