About The Position

Under general supervision of the Program Manager, Medicaid Waiver, this role performs office clerical work in the Medicaid Waiver Program. Duties include filing documents, checking files for case reviews, and general review of case records for Medicaid Waiver documents. The position requires daily compliance with administrative requirements, timely completion of paperwork, case file reviews, and reports. It involves preparing, tracking, and processing Institutional ("I") Deeming cases, identifying potential Medicaid Waiver cases, creating working files for review, and monthly reconciliation of cases. The role also involves verifying and completing monthly Medi-Cal County renewals, following up with staff on program requirements, printing and filing completed forms for terminated consumers, and working with the Quality Assurance technician on case preparation and tracking. Additionally, the position requires mailing, tracking, and storing Notice of Action (NOA) letters, completing assignments from the Agency’s Performance Contract, and working cooperatively as a team member. The role involves appropriate use of office equipment, maintaining a neat work area, observing safety rules, and handling a hybrid work environment. Flexibility, adaptability, good attendance, punctuality, and strong communication skills are essential. The employee must keep their manager informed of work progress and issues, utilize agency IT systems securely, attend training, and ensure consumer rights and dignity are maintained.

Requirements

  • High school diploma or equivalent.

Responsibilities

  • Comply with administrative requirements and provide administrative support for the agency’s Medicaid Waiver Program.
  • Complete necessary paperwork, case file reviews, and reports on a timely basis.
  • Prepare, track, and process out all Institutional (“I”) Deeming cases for Senior Consumer Services Coordinators (CSCs)/Qualified Intellectual Disabilities Professionals (QIDPs).
  • Complete and email all “I” referrals to the County Program Specialist for both Riverside and San Bernardino Counties for the “I” cases.
  • Identify potential Medicaid Waiver cases and create working files for QIDPS to review and certify.
  • Perform monthly reconciliation of Basic category and “I” cases as applicable to case status.
  • Provide Secretary V list of completed monthly certifications and recertification for input/transmission into Uniform Fiscal System (UFS) for Department of Developmental Services’ (DDS) records.
  • Verify and complete all monthly Medi-Cal County renewal via e-mails for both Riverside and San Bernardino County Medi-Cal offices.
  • Update the UFS system to reflect issues with renewal of consumer’s Medi-Cal eligibility.
  • Follow up with CSCs completing various processes to stay in compliance with the requirements of the Medicaid Waiver program.
  • Provide Senior CSCs/QIDPs updates on all inquiries from Medi-Cal offices as applicable.
  • Print and file completed ICRC 90 forms that are sent by CSCs to terminate consumers.
  • Assure that any closed case is terminated from the Medicaid Waiver program.
  • Work efficiently with the Medicaid Waiver Quality Assurance (QA) technician on a flow basis by prepping “I” cases to replace all miscellaneous terminations.
  • Update the Medicaid Waiver QA technician on the total number of “I” cases and miscellaneous case terminations.
  • Mail out, track, and maintain appropriate storage of Notice of Action (NOA) letters sent to Medicaid Waiver consumers and/or families.
  • Successfully complete all assignments arising out of the Agency’s Performance Contract.
  • Work cooperatively and effectively with others, perform as a member of the team, answer questions, share expertise and contribute to the harmony of the team.
  • Use office equipment appropriately and report the need for any repairs.
  • Keep work area neat and orderly.
  • Observe all safety rules and comply with IRC’s Injury and Illness Prevention Plan and Workplace Violence Prevention Plan.
  • Handle a hybrid work environment consisting of working in the office and remotely at home while maintaining work productivity and efficiency.
  • Communicate via telephone calls, video conference calls, emails, and chat rooms.
  • Handle change well and be flexible and adaptable in dealing with interruptions, new priorities and new assignments.
  • Maintain good attendance and punctuality.
  • Keep manager informed of pending work, work in progress and problems encountered.
  • Utilize agency’s IT systems as assigned, maintaining security and following agency’s protocol and procedures, rules, and requirements.
  • Attend training sessions as required.
  • Comply with and ensure program compliance with agency’s Personnel Policies and Procedures.
  • Assure that consumers’ rights and dignity are maintained in the provision of services.
  • Perform different or additional work as assigned.
