Construction Project Coordinator

JLL•Tampa, CO
•$100,000 - $120,000•Remote

About The Position

JLL is seeking a Construction Project Coordinator to support the Projects Program across the East region of a client account in its Technology Division. The role partners with the client’s National Real Estate Team and supports Office Services Leaders (OSLs), helping ensure projects follow a consistent process from due diligence through post-construction. The coordinator tracks project phases and documentation, supports scope sign-off and budget close-out, and follows punch-list and warranty items through closure. The position requires enough construction experience to follow drawings, schedules, scope discussions, change orders, and RFIs; understand potential office impacts; and identify risks that may need escalation. The coordinator attends project meetings and calls, captures decisions and follow-up items, and prepares clear summaries for OSLs and other stakeholders. The coordinator maintains project SharePoint sites and Microsoft Planner task tracking, and uses AI tools and prompts to support consistent project documentation and follow-up. The role also supports program audits and refreshers, trains internal team members and third-party project managers on standard processes, and works with the Facilities & Projects Director to keep the East region project pipeline organized and reportable. The position is onsite Monday through Friday, 8 AM–5 PM, with occasional travel to offices or project sites as needed. The posting also lists the location as remote in Atlanta, Charlotte, New York, Philadelphia, Tampa, or Washington, DC.

Requirements

  • Bachelor’s degree in Construction Management, Engineering, Architecture, or a related field, or equivalent work experience.
  • At least 2 years of experience in construction, project coordination, project engineering, or an owner’s-representative role, with exposure sufficient to follow drawings, schedules, and scope discussions.
  • Exceptional organization and demonstrated ability to manage multiple concurrent projects, deadlines, and stakeholders without losing detail.
  • Comfort using AI tools and creating effective prompts for consistent project documentation and follow-up.
  • Working proficiency with Microsoft Planner for task and workflow tracking.
  • Experience building and maintaining SharePoint sites, including document libraries and site structure.
  • Strong written communication skills, including the ability to produce clear meeting notes, status updates, and closeout documentation.
  • Ability to work cross-functionally with OSLs, architects, engineers, designers, security, AV, and third-party project managers.
  • Proficiency with Microsoft 365 applications, including Outlook, Teams, Excel, and Word.
  • Valid driver’s license and ability to travel to project sites as needed.
  • Authorization to work in the United States without visa sponsorship.

Responsibilities

  • Track regional projects through defined phases, confirming each phase’s required outcomes before projects advance.
  • Ensure standard project documents, including the playbook, sign-offs, execution checklists, and closeout packages, are used consistently.
  • Confirm the agreed RACI is followed and appropriate stakeholders are involved at the right project stages.
  • Support scope sign-off and budget close-out during pre-construction, and track punch-list and warranty items through closure.
  • Review construction drawings, schedules, and scope documents to track progress and understand change orders and RFIs.
  • Attend construction meetings and project calls; capture accurate notes, decisions, and follow-up items.
  • Identify and escalate scope, schedule, or business-impact risks and delays.
  • Prepare OSLs for key decision points with organized summaries of scope, options, and open items.
  • Serve as a point of contact for OSLs and stakeholders regarding project status and action items.
  • Build and maintain a SharePoint site for each project as the central source for documents, decisions, schedules, and photos.
  • Use Microsoft Planner to track tasks, owners, and due dates across active regional projects and keep stakeholders current.
  • Build and use AI prompts to support status summaries, meeting recaps, checklist reviews, and follow-up reminders.
  • Support the annual program refresher and audit process, identifying opportunities to improve process, documentation, or tools.
  • Train internal team members and third-party project managers on standard project processes, documents, and tools.
  • Partner with the Facilities & Projects Director to organize and report on the East region project pipeline.
