About The Position

Reybold is a growing construction and property management company that is currently seeking a Construction Operations Manager that will work closely with the Director of Construction to manage the administrative and operational support functions associated with our Construction Site Operations Department. In this role you are responsible for coordinating and maintaining processes that support field personnel, including employee timekeeping review and approval, operational documentation, workforce and project-related tracking, reporting, and communication between field operations and internal departments and personnel which includes Project Managers, Estimators, Construction Administration, field supervision, Payroll, Human Resources, Accounting, Safety, and Fleet. The Construction Operations Manager is primary responsibility is to manage assigned construction operational and administrative processes while coordinating with employees at various levels of the organization ensuring required information, documentation, and tasks are completed.

Requirements

High school diploma or equivalent required
Three to five years of experience in construction administration, construction operations, project support, office administration, or a related role preferred.
Experience working with construction field personnel strongly preferred.
Experience reviewing employee timekeeping records preferred.
Strong organizational and administrative skills with exceptional attention to detail.
Ability to manage multiple priorities and deadlines in a fast-paced construction environment.
Strong Microsoft Excel, Word, Outlook, and general computer skills.
Ability to learn and effectively use company payroll, timekeeping, project management, GPS, and other business systems.
Ability to review detailed records and identify discrepancies.
Strong written and verbal communication skills.
Ability to communicate effectively with both field and office personnel.
Sound judgment and problem-solving skills.
Ability to work independently while maintaining close communication with the Director of Construction.
Ability to handle confidential employee and company information appropriately.

Responsibilities

Manage the administrative processes supporting day-to-day construction field operations.
Work closely with the Director of Construction to coordinate departmental priorities, operational needs, and follow-up activities.
Maintain and organize operational records, reports, spreadsheets, and supporting documentation.
Track field-related information and ensure required documentation is completed and maintained.
Monitor outstanding operational items and follow up with appropriate personnel to ensure timely completion.
Serve as a point of coordination between construction field operations and other internal departments.
Assist the Director of Construction with special projects, reporting, process improvements, and other departmental initiatives.
Review time entered by hourly construction employees for accuracy and completeness.
Approve employee time records within established payroll deadlines and company procedures.
Verify appropriate job assignments, cost codes, regular hours, overtime, and other applicable timekeeping information.
Identify missing, incomplete, inconsistent, or questionable time entries and follow up with employees and/or supervisors for clarification.
Review company-authorized GPS records or other available business records, when necessary, to assist in verifying work activity and resolving timekeeping discrepancies.
Coordinate corrections to employee time records in accordance with established procedures and authorization levels.
Escalate unresolved timekeeping issues to the Director of Construction, Payroll, or Human Resources as appropriate.
Maintain confidentiality of employee timekeeping, payroll, location, and personnel information.
Coordinate closely with Payroll to ensure approved time is accurate and submitted by established deadlines.
Support the Director of Construction with the administrative coordination of construction field personnel and activities.
Communicate regularly with Superintendents, Foremen, and other field personnel regarding operational and administrative requirements.
Track labor hours, overtime, staffing, and other field workforce information as required.
Help identify administrative or operational issues that may affect field productivity or project execution and communicate concerns to the Director of Construction.
Assist with gathering and preparing information needed by management to evaluate field operations.
Coordinate with Safety, Fleet/Equipment, HR, Payroll, Accounting, and other departments regarding field operational needs.
Prepare recurring and ad hoc reports for the Director of Construction.
Maintain spreadsheets, tracking systems, and other tools used to monitor construction operations.
Review administrative processes for accuracy, efficiency, and consistency.
Recommend improvements to administrative and operational procedures.
Ensure construction operational records are maintained in accordance with company requirements.
Perform additional duties and special projects as assigned by the Director of Construction.
