This is a process-driven role focused on executing established workflows and supporting operational leaders. The position supports managers and supervisors who manage client relationships and construction projects.

Responsibilities

  • Maintain appointment schedule, communicate issues or reschedule requests and gaps in the schedule.
  • Audit calendar and alignment to confirm jobs are listed and being tracked, as well as employee vacation and off days match internal systems.
  • Send regular appointment reminders as defined, track responses and flag issues.
  • Track maintenance material lists for upcoming visits and order parts in advance and deliver when needed.
  • Create and update maintenance work orders, including request lists, notes & history, access information and materials.
  • Monitor department email box for scheduling responses and respond to routine operational items.
  • Process activity reports ensuring that they have been submitted, completed and are up to date and ready to be sent to the client.
  • Assist Repairs Department by identifying completed jobs not yet billed and assist in moving through process.
