About The Position

The Construction Administrator will support Project Managers and Superintendents in executing, planning, managing, organizing, and executing construction projects from start to finish, coordinating communication between contractors, suppliers, OEG leadership and clients. Manage project progress, reviewing invoices, contracts and other construction documentation. Assisting with procurement or materials and supplies and logistics ensuring projects are within budget and adhere to strict timelines along with compliance requirements.

Requirements

  • 3 to 5 years of construction administration experience, specifically in high-end residential construction, high-end landscape design-build, or custom home building.
  • Working knowledge of high-end landscape elements (e.g., masonry, custom pools, irrigation, outdoor lighting, and specimen tree installations).
  • Impeccable verbal and written communication skills suitable to a wide audience of executives and high end clientele.
  • Strong problem-solving abilities to handle the evolving realities of fast pace and constant change.
  • Highly proficient with project management systems (e.g., Aspire, BuilderTREND) and general administration tools (MS Office).

Nice To Haves

  • Ability to navigate AutoCAD or Land F/X drawings is highly preferred.

Responsibilities

  • Participate in project meetings, prepare meeting agendas as needed, and follow up on action items.
  • Identify potential delays and strive to take proactive steps to correct timelines.
  • Manage and provide effective communication between project teams, subcontractors, vendors, and clients to ensure information flow and issue resolution.
  • Maintain detailed project documentation, including contracts, change orders, RFIs, and submittments.
  • Assist Project Managers with employee timesheets and schedules as needed.
  • Ensure accurate recordkeeping and documentation in project management systems or databases.
  • Project reporting, cost tracking, and preparing progress updates for management and stakeholders.
  • Review, manage all estimates, proposals and contracts.
  • Timely processing of RFI’s and change orders.
  • Coordinate with the appropriate municipal offices and associations including utilities for permitting.
  • Issue contracts, track lien waivers, and ensure certificates of insurance (COIs) remain current.
  • Prepare accurate monthly client billings and manage purchase orders.
  • Perform close outs at end of each project, including warranties, any maintenance manuals for clients.
