About The Position

The Construction Administrative Coordinator provides essential administrative and operational support to the Construction team. This role is responsible for maintaining project documentation, coordinating communications, managing vendor and subcontractor information, overseeing permitting and inspection tracking, and supporting the development of internal processes and training materials. This position plays a key role in ensuring the day-to-day efficiency and organization of construction operations. This is a full-time position requiring flexibility to work occasional evening and weekend hours as needed for deadlines, special meetings, and events.

Requirements

  • High school diploma or equivalent required
  • Prior administrative experience required
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Strong written and verbal communication skills with keen attention to detail.
  • Ability to manage multiple tasks and deadlines in a fast-paced environment.
  • Self-motivated and capable of working independently as well as collaboratively within a team.
  • Demonstrated ability to build and maintain positive working relationships with staff, vendors, subcontractors, and community partners.
  • Commitment to understanding the broader mission of Habitat for Humanity and the role construction plays in achieving it.
  • Valid driver’s license and reliable transportation required.
  • Willingness to work outside of standard office hours on occasion.
  • Must pass a Criminal Background Check
  • Must pass a Sexual Offender Check.

Nice To Haves

  • associate’s degree or higher in business administration, construction management, or a related field preferred.
  • experience in a construction, trades, or nonprofit environment strongly preferred.
  • experience with project management software (e.g., BuilderTrend) is a plus.

Responsibilities

  • Become proficient in BuilderTrend Project Management Software to maintain per-house files and documents, manage public shared files, and maintain the build calendar.
  • Organize, maintain, and update construction project files and records to ensure accurate and accessible documentation.
  • Monitor and integrate communications from the Construction email inbox into daily and weekly project updates as needed.
  • Create and maintain organized documents for subcontractor bidding and estimates, including contracts and vendor agreements.
  • Maintain up-to-date vendor information and ensure wage verification records are current and compliant.
  • Serve as an administrative liaison for subcontractor onboarding and ongoing record-keeping.
  • Prepare and submit permitting documentation and track the status of all active permits and inspections.
  • Maintain an up-to-date permitting calendar and organized filing system for all inspection records.
  • Coordinate utilities applications and track progress, including capturing and filing required site-ready photos.
  • Organize and maintain color combination packages and design selections for RitzCraft orders.
  • Oversee the Habitat Portfolio of designs, including tracking notes for revisions, managing neighborhood collections, and standardizing order guides.
  • Ensure design records are current, accessible, and aligned with active construction projects.
  • Develop clear, step-by-step written instructions for modular build processes in an easy-to-understand format.
  • Work toward producing a shareable, multimedia guidebook (the “Playbook”) suitable for team members, construction partners, and other Habitat Affiliates.
  • Schedule and provide administrative support for ongoing safety training for the construction team.
  • Ensure safety training activities are consistent with LOCKTON insurance requirements and maintain accurate training records.
