About The Position

The Construction Administrative Coordinator provides critical administrative, proposal, and project support to construction operations, estimating, project management, and marketing/sales teams with minimal supervision. The role supports the company mission, policies, and procedures and demonstrates a commitment to excellence, accuracy, and collaboration. This position requires strong organizational skills, discretion in handling sensitive information, and the ability to meet strict deadlines.

Requirements

  • Associate’s degree or equivalent experience preferred.
  • Three or more years of administrative experience, preferably in construction, engineering, or professional services.
  • Strong proficiency in Microsoft Word, Excel, Outlook, Teams, and document management systems.
  • Ability to work independently and collaboratively while maintaining confidentiality and accuracy.

Responsibilities

  • Create and maintain proposal folders (P-folders) upon receipt of Requests for Proposals (RFPs) and distribute to the estimating team.
  • Prepare, format, and submit proposals ensuring accuracy, consistency, and inclusion of all required attachments.
  • Provide estimating and bid support including bid form setup, document organization, and timely submission of bids.
  • Assist Sales team with data entry into Salesforce as needed.
  • Upload contracts into the Contract Management System within required timeframes.
  • Submit Certificates of Insurance requests.
  • Maintain Proposal Tracker, Project Matrix, and Subcontractor Tracker with accurate and current information.
  • Coordinate completion of client pre-qualification requests and subcontractor questionnaires.
  • Assist with project closeout documentation including resume updates, capsules, and records retention.
  • Assist marketing and sales team as needed with Cascade branding and marketing campaigns as needed.
  • Professionally manage front desk operations including greeting visitors, answering phones, maintaining the lobby, and handling incoming and outgoing mail and courier services.
  • Order and maintain inventory of office supplies and safety equipment in accordance with required approval thresholds, as needed.
  • Serve as backup for expense report and receipt processing.
  • Assist in developing and maintaining administrative process workflows.
  • Perform other duties and projects as assigned.
