About The Position

McMillan is looking for their next Conflict and Risk Management Assistant in our Vancouver or Calgary office. As a member of the Risk Management department working 9am -5pm PT or 10am-6pm MT, you will play a key role conducting conflict searches, monitoring and building ethical walls and supporting administrative activities of the Assistant General Counsel and Manager, Conflicts and Risk Management. This is a new role for the department. This role offers a hybrid workweek, combining working at home for a few days and working in the office for the balance.

Requirements

  • A minimum of two (2) + years of administrative experience, preferably within a legal or professional services environment.
  • Client-service mindset with the ability to prioritize competing requests and deliver accurately under tight deadlines.
  • Meticulous attention to detail and a consistent track record of producing high-accuracy work.
  • Comfortable learning and using new technology, systems, and tools with minimal ramp-up time.
  • Proactive and resourceful, with the flexibility to adapt to changing priorities and workflows.
  • Sound judgment and professional discretion when handling confidential and sensitive information.

Responsibilities

  • Receive and review Intapp conflict-search request forms, conduct conflict searches, confirming completeness, accuracy, and required supporting information.
  • Conduct conflict surveys, compile findings, and generate clear, timely reports for internal stakeholders.
  • Maintain public company lists and directorship records, ensuring entries are current, complete, and well-organized.
  • Set up, manage, and monitor ethical walls; resolve access issues and liaise with Information Technology (IT) as needed.
  • Coordinate ethical wall and conflict-related projects, tracking status, documenting outcomes, and escalating issues when required.
  • Test and troubleshoot conflict-search and ethical-wall systems, identifying issues and supporting fixes and process improvements.
  • Draft, edit, and format correspondence and internal documentation to support risk and conflict management activities.
  • Provide administrative support to senior leaders, including calendar coordination and file management.
