We are looking for a Configuration Administrator to play a key role in our Configuration Management process. Requirements

  • Advanced Certificate or Diploma in Business Administration or Management Assistant or a related technical/administrative field
  • Minimum of 5 years of experience in a similar role, especially in industries (e.g., aerospace, defence, automotive, energy) with strict compliance configuration management standards (e.g. ISO 9001, ISO 10007, AS9100, ECSS-M-ST-40C).
  • Document Control & Configuration Management: Experience managing and maintaining document control systems and configuration processes.
  • Engineering or Manufacturing Environment: Proven documentation control experience working in technical, engineering, or manufacturing environments.
  • Change Management Processes: Strong involvement in supporting and executing change management activities related to documentation and data.
  • Product Data Management Tools: Proficient in the use of PDM Systems such as SharePoint, FileCloud, and Teamcenter or similar tools.
  • Quality & Compliance Standards: In-depth understanding of compliance requirements, internal policies, and external regulations related to documentation management.
  • Cross-Functional Collaboration: Demonstrated ability to collaborate effectively with multiple departments, including Engineering, Operations, and Quality teams

Nice To Haves

  • CMII (Configuration Management II) Certification will be advantageous for the role.

Responsibilities

  • Ensure all customer-facing documentation complies with Configuration and Document Management standards and requirements before distribution.
  • Maintain strict control over document and data distribution to prevent internal and external customers from receiving obsolete, unauthorised or incorrect documentation.
  • Provide required documentation and data within agreed timelines to relevant internal and external customers.
  • Support project milestones by ensuring documentation readiness for internal and external customer reviews, audits, and acceptance stages.
  • Ensure internal notification of all new and updated documentation within agreed timelines.
  • Ensure that document control processes meet customer standards, contractual obligations and regulatory requirements.
  • Verify that all documentation and data meet customer configuration and quality expectations.
  • Assist during Change Control Notifications.
  • Assist the CM Manager in maintaining a clear tracking record of the change process for internal and external customer reference.
  • Prepare and present documentation for internal and external customer audits, inspections, and configuration reviews.
  • Ensure full traceability of configuration items and associated documents as per internal and external customer requirements.
  • Act as a point of contact for internal and external customers and suppliers during the distribution and notification process.
  • Provide guidance and clarification on document formats, standards, and submission processes.
  • Provide support to internal and external customers as well as suppliers on document-related queries and issues.
  • Adhere, maintain, and enforce document control procedures in line with company configuration policies, procedures, and processes.
  • Create awareness to prevent unauthorized or outdated documents from being used.
  • Manage all reference linking and reference review of technical and non-technical documentation.
  • Support and adherence to internal and external configuration and quality management standards (e.g., ISO 9001, ISO 10007, AS9100, ECSS-M-ST-40C, as well as any internal processes and procedures).
  • Monitor (across departments) and report to the CM Manager on non-compliance with document control processes.
  • Support the CM Manager with tracking and reporting on the Change Control process and related approvals.
  • Administration of the Change Control process and assist the CM Manager to ensure timely updates and close off changes.
  • Report on issues faced, difficulties, or obstacles during the Change Control process to the CM Manager for review and direction.
  • Prepare for CCB meetings, act as CCB Secretariat and ensure correct.
  • Maintain and administer PDM system (Teamcenter), SharePoint, as well as FileCloud.
  • Conduct and support the CM Manager during documentation and PDM system audits to ensure document compliance and traceability throughout the lifecycle and in support of external audits.
  • Support the CM Manager during internal audits and reviews to ensure ISO compliance.
  • Ensure full traceability of configuration and associated documentation throughout the various product lifecycles.
  • Act as the central point of contact for technical and non-technical documentation-related queries within the organization.
  • Engage with cross-functional teams to ensure alignment on documentation processes and requirements as well as any document-related queries and issues.
  • Ensure continuous and accurate communication and notification on document changes and process updates.
  • Support the CM Manager with the documentation and configuration processes to identify gaps, increase efficiency, reduce rework, and improve compliance.
  • Report all concerns (issues faced, difficulties or obstacles) and shortfalls to the CM Manager for review to implement agreed corrective actions to ensure compliance.
  • Support digital transformation initiatives related to configuration and document management.
