About The Position

We are seeking a Conference Services & Events Specialist to join our Firm. This position will be based in our Palo Alto office (onsite). The Conference Services & Events Specialist responds to inquiries and requests for conference services-related assistance. Assists Office Services Manager to ensure that all requests for meeting space, food and beverage, special equipment, visiting attorney offices and other facilities or services are provided seamlessly. Assists Officer Services Manager to ensure that all requests for space, food, special equipment and other facilities or services are provided seamlessly. Assists with ordering catering for the office, kitchen inventory, and ensures all relevant information is captured in the appropriate software systems and all invoices are provided to the Office Services Manager. Assists with catering intake by overseeing vendor drop off, logging temperature of food upon arrival, logging food temperature every hour after drop off, and ensures food is disposed of properly after four hours. Assists with keeping client pantry and internal hub maintained according to public health requirements as directed by the Conference Services Supervisor. Assists with cleaning dishes properly by rinsing, washing, sanitizing, and air drying all glassware, cutlery, dishes, and plates. Mains all conference rooms to ensure cleanliness and timeliness of room setup and dining service. Assists with set up conference rooms for meetings with beverages and catered food items and clean-up of conference rooms following meetings. Mains conference rooms and visiting attorney offices to ensure that rooms are clean and adequately supplied (pads, pencils, directories, etc.). As needed, assist BD Marketing, Skadden Experience, People Development teams, Talent Acquisition events and office events. Prepares and monitors beverages in internal pantries, hub, and other beverage service areas. Performs housekeeping duties not otherwise provided by building housekeeping vendor. Provides backup coverage to Facilities and Reprographics departments as needed. This may include coverage for time off or leaves of absence. Participates in the Reprographics Saturday shift rotation. Mains effective working relationships with clients, attorneys and staff. Establishes and maintains relationships with other departments. Demonstrates effective interpersonal, written and verbal communication skills to facilitate effective work relationships with others. Mans Firm resources responsibly. Regular and reliable physical presence. Complies with and understands Firm operation, policies and procedures. Performs other related duties as assigned.

Requirements

Responsibilities

  • Respond to inquiries and requests for conference services-related assistance.
  • Assist Office Services Manager in ensuring seamless provision of meeting space, food and beverage, special equipment, visiting attorney offices, and other facilities or services.
  • Order catering for the office and manage kitchen inventory.
  • Oversee vendor drop-off for catering, log food temperatures, and ensure proper disposal.
  • Maintain client pantry and internal hub according to public health requirements.
  • Clean dishes, glassware, cutlery, and plates by rinsing, washing, sanitizing, and air drying.
  • Maintain cleanliness and timeliness of conference room setup and dining service.
  • Set up and clean up conference rooms for meetings, including beverages and catered food.
  • Ensure conference rooms and visiting attorney offices are clean and adequately supplied.
  • Assist BD Marketing, Skadden Experience, People Development teams, Talent Acquisition events, and office events as needed.

  • Perform housekeeping duties not covered by the building's housekeeping vendor.
