About The Position

National Capitol Contracting is seeking a Conference Services Event Planner to support the National Institutes of Health (NIH) in Bethesda, MD. This role involves interfacing with scientists, doctors, dignitaries, and politicians to provide comprehensive support for conferences and events on the Bethesda campus and surrounding locales. The ideal candidate will have a proven track record of successfully planning and executing events, with impeccable attention to detail and the ability to handle high-pressure situations professionally.

Requirements

  • Ability to obtain and maintain Public Trust Clearance (requires passing a criminal background check and credit check).
  • 2+ years of event planning experience.
  • Proficiency in event management software and Microsoft Office Suite (Outlook, Teams, Word, Excel, and Resource management systems).
  • Excellent written and oral communications, interpersonal, and project planning skills.
  • Ability to work with outside vendors to ensure customer satisfaction for all events.
  • Comfortable with site inspections and client presentations.
  • Exceptionally organized with the ability to multitask and prioritize effectively in a fast-paced environment.

Responsibilities

  • Planning and organizing conferences, including coordinating venue selection, capturing event vision, understanding client agendas and run of show, and addressing requirements like 508 compliance, security, and other logistics.
  • Coordinating rental equipment, supplemental services, on-site operations, multimedia services, campus security, parking, and transportation to ensure a seamless attendee experience.
  • Managing events ranging in size from 8 to over 300 attendees.
  • Building and maintaining strong client relationships, understanding their needs, and providing exceptional customer service throughout the event lifecycle.
  • Working with the PMO office and leadership teams to ensure effective communication, delegation, and coordination among providers and support groups.
  • Ensuring smooth execution of conferences and events by coordinating with stakeholders, managing timelines, overseeing setup and teardown, and troubleshooting issues.
  • Reviewing post-conference feedback to assess client satisfaction, identify areas for improvement, and implement changes.
  • Identifying potential risks and developing contingency plans to mitigate disruptions.
  • Collaborating with the events management department for proper execution of workflows.
  • Collaborating with clients to understand event objectives, vision, and requirements, and providing expert guidance.
  • Conducting post-event evaluations and analysis to identify areas for improvement and implement changes for future events.
