About The Position

This role is responsible for delivering mid- to large-scale conferences, meetings, and events, encompassing in-person, virtual, and hybrid experiences. The manager will oversee logistics, budgets, technology, and vendor relationships to ensure high-quality educational and networking opportunities. The position requires applying industry best practices and operational expertise for seamless execution, attendee satisfaction, and financial accountability. The role reports to the Lead Manager, Conference & Events Management and operates on a hybrid work schedule.

Requirements

  • Bachelor's degree
  • 6+ years relevant conference, tradeshow, or event professional work experience

Responsibilities

  • Serve as the primary operations liaison for assigned conferences and events, collaborating with internal teams, external vendors, venues, sponsors, and other stakeholders to ensure operational alignment and successful event delivery.
  • Develop conference event orders and event space layouts, including specialized areas and exhibits, to foster a creative, engaging, and cost-effective participant experience.
  • Partner with sales and sponsorship teams on exhibit floor plans, sponsorship fulfillment, onsite logistics, vendor coordination, and associated cost management.
  • Manage meeting logistics, including the supervision of any temporary staff or volunteers.
  • Collaborate with the Virtual Events team to ensure a cohesive experience for both virtual and in-person attendees.
  • Stay informed about industry trends, emerging technologies, and best practices in event management.
  • Manage annual budgets for assigned conferences, including forecasting, financial tracking, expense management, and identifying opportunities for improved profitability and cost efficiencies.
  • Reconcile final billing and prepare post-event analyses to inform future planning and process improvements.
  • Collaborate with partners to establish dates and locations for future conferences and manage the venue procurement process.
  • Conduct site inspections and recommend locations based on program requirements, attendee experience, budget, and operational needs.
  • Negotiate contracts with hotels, AV providers, temporary agencies, and other vendors to secure favorable terms, minimize organizational risk and liability, and maximize cost savings.
