About The Position

The Conference Center Facilities Manager is responsible for overseeing the setup, breakdown, cleanliness, and organization of all banquet and meeting spaces within the Hotel Madison & Shenandoah Valley Conference Center. This role involves interpreting event orders, developing timelines, managing equipment, supervising staff, and ensuring adherence to health and safety guidelines. The manager will also contribute to enhancing guest experiences and financial results, fostering an engaging team environment, and coordinating with external vendors and A/V companies.

Requirements

  • Ability to interpret Banquet Event Orders.
  • Proficiency in developing timelines for events.
  • Skill in setting up and breaking down banquet meeting spaces.
  • Knowledge of cleanliness, sanitation, and organization standards for event spaces.
  • Understanding of proper equipment storage and cleaning procedures.
  • Experience in supervising and assisting banquet staff.
  • Familiarity with Health Department guidelines for food handling and sanitation.
  • Experience with inventory management of banquet equipment.
  • Ability to conduct detailed walk-throughs and use checklists.
  • Skills in enhancing guest experience and improving financial results.
  • Leadership and coaching abilities.
  • Ability to provide room set capacities based on various factors.
  • Experience coordinating with A/V companies.
  • Experience outsourcing items through third-party vendors.
  • Ability to train team members on room set-up/tear down.
  • Understanding of room diagrams and event setup requirements.
  • Minimum of 50 hours workweek on average.

Responsibilities

  • Interpret Banquet Event Orders to ensure event details and staffing are clearly communicated and orchestrated.
  • Develop a weekly timeline for all events and functions regarding room set ups and cleaning.
  • Set up/breakdown banquet meeting space per Banquet Event Order instructions including tables, linens, and all other event provisions.
  • Monitor and maintain cleanliness, sanitation, and organization of all banquet spaces and common areas in the Conference Center.
  • Ensure proper storage of all equipment including tables, linens, chairs, dance floor, stage, and décor.
  • Ensure proper cleaning of all equipment after the function is completed.
  • Supervise and assist assigned banquet associates during events.
  • Observe Health Department guidelines for food handling and sanitation.
  • Conduct quarterly banquet equipment inventory to include tables, linen, china, glassware, and silverware.
  • Perform monthly walk-throughs of the Conference Center with a detailed checklist.
  • Provide input to enhance processes that heighten guest experience and improve financial results.
  • Create an engaging environment where motivated people want to join, learn, do their best, and advance.
  • Lead a diverse team by modeling the way, by empowering, and coaching throughout the employment lifecycle.
  • Provide specific room set capacities for all meeting rooms based on the room set-up, and any other defined factors (a/v requirements, dance floor size, staging, etc.) based on actual room sets.
  • Work with the on-site A/V company to ensure their a/v set is coordinated with the room set and event needs.
  • Outsource any items (chairs, tables, china, glass, linen) through 3rd party vendors for either purchase or rent based on current inventory compared to event needs on a daily basis (with executive leadership approval).
  • Assist the banquet operations team as needed with any changes, additions, or modifications to room sets and event service as time permits.
  • Train all banquet team members to understand and implement room set-up/tear down as required by the banquet leadership team.
  • Understand and follow all room diagrams as provided by the conference services and banquet leadership team.
  • Provide feedback and address any concerns prior to or during the set-up to avoid any negative impact to the event.
