About The Position

The Concierge is responsible for providing a positive experience for residents, families, visitors, and team members by assisting with questions and problems. This role involves managing the entry area, answering calls, handling mail and packages, and maintaining a clean and inviting lobby. The Concierge also plays a role in sales and marketing by managing the inquiry process and conducting tours, as well as assisting with business office duties such as processing new resident documentation and maintaining resident files. Additionally, the Concierge promotes resident participation in programming and ensures adherence to company policies and procedures. This job description provides a framework, and other duties may be assigned.

  • Understanding of marketing standards.
  • Familiarity with Lead Management Programs.

  • Ability to promote resident engagement in programming.
  • Adherence to company policies and procedures.

Responsibilities

  • Proactively assist residents, families, visitors, and team members with questions or problems, ensuring a positive experience.
  • Greet all visitors and answer incoming calls professionally and respectfully.
  • Monitor the entry area for visitors and guests, greet and direct them as necessary.
  • Answer incoming telephone calls and resident calls, forward calls, and take messages.
  • Receive and send packages for residents.
  • Assist residents with mailing letters and packages.
  • Manage the lobby, ensuring the desk and lobby are clean and neat, creating a comfortable and inviting area.
  • Assist the Director of Resident Engagement and/or others in promoting programming with residents in the lobby.
  • Manage the inquiry process, connecting callers or visiting customers to the appropriate inquiry team member.
  • Respond to inquiries and conduct tours when the Director of Sales and Marketing, Executive Director, and other Directors are unavailable.
  • Facilitate experiences/tours of the community as needed.
  • Support the marketing standards of the community.
  • Assist with duties related to the Lead Management Program.
  • Assist with assembling marketing packets as needed.
  • Assist in processing new resident documentation.
  • Assist in the maintenance of resident files and documentation while maintaining confidentiality.
  • Promote and encourage residents to participate in programming.
  • Follow and communicate company policies and procedures.
