About The Position

The Compliance Specialist is responsible for managing entity compliance obligations across multiple registered agents and jurisdictions, maintaining up-to-date property management regulatory requirements, and supporting day-to-day compliance operations. This role serves as a critical coordination point between legal, operations, and property management functions, ensuring that regulatory filings, internal notices, and employee training obligations are handled accurately and on time. This position will be based in our downtown Dallas offices. A 4/1 hybrid work schedule is available.

Requirements

  • 2+ years of experience in real estate, compliance or property management, with some exposure to compliance or operational roles
  • Demonstrated experience writing, editing, or managing operational policies and procedures
  • Strong written communication skills with exceptional attention to detail
  • Ability to translate complex regulatory language into clear, actionable operational documentation
  • Experience managing high-volume, deadline-driven workflows is strongly preferred.

Nice To Haves

  • Prior experience with registered agents, entity management, or annual report filings is a plus
  • Bachelor’s degree in business, Real Estate, Paralegal Studies, or a related field
  • Familiarity with property management platforms (e.g., Yardi, RealPage, AppFolio)
  • Experience working within a large-scale residential or institutional real estate environment

Responsibilities

  • Manages a high-volume filing workload spanning hundreds of entities and states.
  • Coordinate with the company’s registered agents to ensure timely filing of annual reports across a portfolio of over 800 entities and state registrations.
  • Manage the full annual report lifecycle for VB entities (618+ filings), including tracking due dates, compiling required information, submitting filings, and confirming completion with registered agents.
  • Maintain accurate records of entity registrations, filing statuses, and jurisdictional requirements for all managed entities.
  • Monitor and respond to registered agent correspondence and notices related to filing deadlines and compliance status.
  • Keeps the organization current on evolving regulatory requirements across all operating states.
  • Research, track, and maintain a comprehensive database of state-specific property management licensing and compliance requirements.
  • Monitor regulatory changes across all jurisdictions where the company operates and proactively communicate updates to relevant teams.
  • Coordinate with legal and operations to ensure the company remains in good standing with all applicable state property management regulations.
  • Acts as a daily intake and triage point for compliance-related notices.
  • Review all incoming SOP (Statement of Policy / Service of Process) notices received daily.
  • Evaluate each notice and determine appropriate routing to the correct team — including the violation team, legal department, evictions team, or other relevant functions.
  • Escalate time-sensitive or high-risk notices to legal or management as appropriate.
  • Serves as the primary point of contact for recurring investor/partner compliance reporting.
  • Prepare and deliver weekly compliance reports to NexPoint in accordance with established reporting schedules and formats.
  • Review and respond to follow-up questions from NexPoint regarding report contents, providing clear and accurate explanations of compliance data.
  • Maintain organized records of all submitted reports and correspondence for reference and audit purposes.
  • Oversees compliance training assignment and tracking for all employees on the platform.
  • Manage user accounts within the Grace Hill Learning Management System, including onboarding new employees and promptly deactivating accounts for terminated employees.
  • Coordinate with department heads to identify required training curricula and ensure appropriate courses are assigned to each employee.
  • Monitor training completion status and provide regular progress reports to managers.
  • Maintain accurate records of training assignments, completions, and outstanding items for compliance documentation purposes.
