About The Position

This is a remote position for a Compliance Specialist with a duration of 4-4.5 months, potentially with an extension. The role involves conducting research on licensing topics, analyzing license requirements, and ensuring compliance with state regulatory guidelines. The specialist will maintain and update a licensing management system, pull licensing reports, coordinate communication with various stakeholders, and perform license verification checks. Additional responsibilities include reconciling expenses, ordering licensing documentation, submitting filings, reviewing requirements for new and reciprocal licenses, monitoring renewal and continuing education deadlines, and facilitating document signings. The role requires multitasking and independent work in a dynamic environment.

Requirements

  • At least 5 years of experience handling real estate brokerage licensing, compliance, or equivalent experience in a regulated industry
  • Ability to understand the regulatory framework and industry practices applicable to real estate brokerage licensing at both the individual and entity level
  • Excellent interpersonal, written, and verbal communication skills
  • Experience with exposure to confidential information and an understanding of the importance of maintaining such confidentiality including legal, financial, and personal information
  • Proven analytical ability and initiative
  • Strong organizational skills and attention to detail
  • Experience in document management and electronic record keeping
  • Ability to effectively handle shifting priorities and adapt to changing demands in a fast-paced dynamic environment
  • Proficient within the Microsoft and Google suites.

Nice To Haves

  • Bachelor's Degree preferred
  • Experience with state real estate commission portals, Airtable, and/or DocuSign preferred

Responsibilities

  • Conduct thorough research on licensing topics with state real estate commissions and regulatory agencies
  • Analyze brokerage and individual license requirements and ensure compliance with state regulatory guidelines
  • Maintain, monitor, and update data in an internal licensing management system (Airtable) for individual and company license work
  • Pull and administer licensing reports for Business Lines Compliance Teams, Management Teams, and Business stakeholders
  • Coordinate communication with state real estate commissions, designated brokers, and internal stakeholders regarding licensing matters
  • Complete license verification checks with state agencies and escalates exceptions to management
  • Reconcile expenses related to license applications, renewals, and general license maintenance
  • Complete administrative tasks such as ordering licensing documentation from state real estate commissions
  • Submit new license, reciprocal, amendment, renewal, and surrender filings via state real estate commission portals
  • Review and advise licensees on requirements for new and reciprocal licenses, including broker agreement execution
  • Monitor licensee rosters and ensure upcoming renewal and continuing education deadlines are met
  • Facilitate and complete documentation signings with designated brokers and individual licensees during onboarding and renewals
  • Multitask and work independently to deliver high-quality service and results in a dynamic environment
