About The Position

The Compliance Services Specialist I is responsible for all incoming compliance mail routing, processing of mail, sending out trackable mail, processing returned mail, processing plate cancellations, matching all registrations to letters, and researching no letter situations to keep the compliance department on track for monthly and weekly KPI and SLA metrics. The specialist will be well-versed and able to operate within external and internal systems and technologies to manage processing and communication. The specialist will adhere to detailed methods of processing mail to ensure fleet vehicles are on the road legally with the proper license and registration. Individuals in this role will be assigned to the mailroom and understand the role includes flexibility to be reassigned to another team to suit the business needs to optimize customer satisfaction.

Requirements

  • Ability to speak and write clearly, confidently and succinctly in communications with dealers, tag agencies, government agencies, and clients.
  • Strong customer service skills, with the ability to interact internal/external customers with diplomacy and tact.
  • Multi-task in a fast-paced environment, while demonstrating ability to effectively prioritize tasks and maintain a high level of organization.
  • High attention to detail to ensure accuracy and ability to audit invoicing.
  • Demonstrate excellent follow up and problem-solving skills.
  • Complete basic math functions to calculate complex tax documents.
  • Experienced with Microsoft Windows and the various software it offers. (Visio, Word, Excel, Office, Etc.)
  • Proficient with web-based systems and databases and knowledgeable with navigating the internet.
  • Must be self-motivated, work well in a team environment, and demonstrate leadership qualities.
  • High school diploma or GED required
  • 2 years of previous office or customer service experience
  • Use of Sales Force request management system to engage and respond to client / driver requests.

Responsibilities

  • Process renewal mail registrations and plates using the appropriate resources
  • Organizing and sending all driver notification letters to the main mailroom to stuff and seal for USPS delivery
  • Receive and sort all mail into appropriate groups and mailboxes; i.e.. returned mail, requirements, initial registration, state change, or registrations, etc.
  • Match all registrations and plates to letters that are preprinted by state, Stuff into envelopes and send via USPS
  • Determine trackable needs for registrations based on expiration date, and clients needs and wants.
  • Plate cancellation and plate send back to states processes
  • Sales Force cases for client and Account Manager communications
  • Daily Reporting
