About The Position

Reporting to the North America Senior Compliance Advisor, the Administrative Agent provides administrative and operational support to Compliance, including scheduling, documentation, reporting, audit readiness, and maintaining systems such as SharePoint and the policy library. This role ensures effective communication and regulatory alignment by coordinating translations, managing compliance data, and supporting AML, privacy, and policy initiatives. This is a temporary position (approximately 6-8 months).

  • General education in administration, accounting, or office management (VSD, ACS, or DCS)

Responsibilities

  • Schedule meetings, prepare agendas and take accurate meeting minutes for the purpose of summarizing and distributing information related to Compliance.
  • Proactively maintain Compliance calendar including creating, maintaining, and frequently updating all activity records, related to theCompliance.
  • Provide administrative support during compliance activities, including audit readiness exercises.
  • Compile professional communications and presentations and create/prepare spreadsheets for analysis and reporting as required.
  • Understand and maintain strict confidentiality of all company information.
  • Work with MHCCA & MHCA communication teams to ensure all released enterprise communication & publishing of policies are translated and shared with Canadian staff.
  • Use available technology to translate various Compliance documents and communications.
  • Coordinate the proofreading of Compliance documents with different stakeholders.
  • Research a variety of topics for the purpose of ensuring compliance with legislative requirements and established guidelines.
  • Assists with administration of policy management as required, including formatting and stakeholder engagement
  • Data management in the Compliance SharePoint
  • Keeping the Compliance Policy Library up to date, including employee onboarding and offboarding
  • Coordinates discussions on AML, Privacy and other Compliance related initiatives
  • Assists with AML/ Privacy monitoring reporting for Canada
  • Work with interns to manage & update various Compliance reports
  • Perform any additional responsibilities, as assigned.
