About The Position

The Community Services Supervisor coordinates, oversees, and monitors the daily activities and the efficient operation of programs that support the Ozark Opportunities, Inc (OOI) mission to assist those with limited means to improve their quality of life through stabilization services and development opportunities. Programs may include but are not limited to: Community Service Block Grant (CSBG) activities, Low Income Household Energy Assistance Program (LIHEAP), Emergency & Supportive Services (ESS) activities, Housing, and more as appropriated.

Requirements

  • A High school Diploma/GED is required
  • 3+ years of relevant experience in a similar role is required
  • Proficiency in data management, computer systems, and office equipment is essential
  • A deep functional knowledge of community resources
  • Candidates must be adaptable, flexible, and capable of remaining responsive to shifting community needs and organizational priorities.
  • A valid driver’s license and reliable transportation required.
  • Must pass a criminal records check through the Arkansas state police, state and national sex offender checks, and complete a yearly motor vehicle records check.

  • Equivalent expertise gained through military service or technical certifications is highly valued.

Responsibilities

  • Maintains a thorough knowledge of and follows all Agency, State, and Federal regulations, procedures, and policies pertaining to LIHEAP, ESS, and other programs; stays abreast of rules, regulations, and eligibility requirements for each program; ensures that all are set forth and carried out accurately.
  • Creates a welcoming, safe environment for clients while maintaining a professional working relationship with co-workers, funders, vendors, businesses, landlords, other service organizations, etc.; maintains confidentiality of clients’ information.
  • Answers phones, greets visitors, and makes appointments; provides information to the public regarding available assistance services and programs.
  • Acts as the OOI primary point of contact for LIHEAP, ESS, and other programs as required by providing guidance to OOI staff and education to other OOI departments and team members.
  • Conceptualizes, develops, organizes, and implements outreach activities (Pop-Ups, etc.) by coordinating logistics, attending and supervising events, assisting with enrollment activities, completing site visits, developing materials, cultivating relationships with existing and new partners, and tracking outcomes.
  • Oversees the work of all Community Services staff; provides staff training; evaluates staff; coordinates staffing capacity to ensure efficient and effective processing of applications; holds staff meetings; assures staff’s ongoing development via workshops, conferences and one-on one meetings.
  • Develops program materials, forms, and other documents to improve communications and clarify policies and procedures to vendors, clients, and staff.
  • Responsible for database, program records, and operational oversight; regularly audits program data, files, claims, and paperwork to ensure accuracy of data input and complete compliance with all Agency, State, and Federal regulations and guidelines.
  • Monitors all internal and external service referrals, tracking follow-ups and outcomes.
  • Maintains the LIHEAP vendor database, prepares vendor agreements, and communicates routinely with vendors.
  • Works cooperatively with the Finance Department to ensure accuracy and timely issuance of assistance payments.
  • Prepares reports necessary to comply with Agency, State, and Federal program regulations; provides program updates to QA/Compliance Director, Chief Executive Officer, and other stakeholders as requested; ensures accurate completion and timely submission of all program reports and queries.
  • Monitor expenditures of programs to ensure budgetary and programmatic compliance.
  • Attends meetings, training, seminars, and conferences to enhance expertise and professionalism in agency activities.
  • Develop and maintain relationships with other private agencies, community resources, service organizations, and programs available in the area; initiates and maintains Community Partnership Agreements; conducts agency presentations to external partners to enhance awareness of OOI programs and services; identifies community-based needs and initiates potential collaborations/partnerships that increase services and align with OOI’s mission.
  • Contributes to and participates in strategic planning, program self-assessment, and other efforts to improve program services and agency responsiveness.
  • Responsible for physical inventory of program assets, materials, equipment, etc.
  • Performs other duties as assigned.
