About The Position

Governor's Ranch Homeowners Association is seeking a Non-exempt, Part-time reliable and organized Community Services Coordinator to manage the daily physical operations of our community clubhouse and assist with administrative tasks. This is a great opportunity for a proactive individual who enjoys interacting with residents to make a difference in a community. This role shall report to the Treasurer on the HOA Board and have bi-weekly (if not more frequent) 1:1 meetings with this individual to discuss issues, progress, direction, and decision requests from the Board.

Requirements

  • 5+ years experience in a customer service or administrative role.
  • Strong organizational and multitasking skills with a keen eye for detail.
  • Excellent written and verbal communication skills.
  • Proficiency with Microsoft Office Suite (Word & Excel).
  • Ability to work independently and manage time effectively.
  • Flexibility to accommodate some evening or weekend for events.
  • An upbeat and positive personality is a must.

Responsibilities

  • Report: Directly to the onsite HOA Treasurer.
  • Clubhouse Operations: Open and close the clubhouse weekdays, ensuring the facility is clean, secure, and ready for use. Assure clubhouse and outlying facilities are in good working order, supplies ordered as needed for both upstairs and Pool-level, and issue maintenance requests where needed up to $1,000 in expense without approval.
  • Resident & Guest Services: Act as the first point of contact for residents and walk-in visitors, answering questions and providing excellent customer service.
  • Event Management: Create and manage the event schedule for the clubhouse, set up, and execute all community events.
  • Action Item List Management: Create and maintain an ongoing list of activities with owners and requested due dates so that decisions and information is circulated efficiently.
  • Vendor/Contractor Coordination: Manage access for all vendors, ensuring they can complete their work in a timely manner and with a vendor of our choosing.
  • AP/AR Handling: Handle logistics for payments for services.
  • Community Website & Correspondence: Crafting, reviewing, and sending communications to the community (e-blasts and Gazette). Updating the website as needed with new information.
  • Committee Collaboration: Disseminate committee information, grant meeting Clubhouse access where needed, and tracking committee-specific details (e.g., USTA Tennis), and logistical assistance by the committees for events.
  • Hire/Mentor: Facilitate the training of a redundant CSC, ideally who is in the community, to handle operations in your absence.
  • CSC Documentation: Document and maintain a file of all tools, processes, file locations, applications/technology access, key contacts (personnel and vendor), and information guides to operate within the role independently.
  • Other Duties: as reasonably assigned and performed for good community service.
