About The Position

The Community Manager is responsible for all phases of the operation of the property. This includes achieving the highest possible net operating income through effective cost control and revenue improvement programs, general administration and maintenance of the physical property, supervision and direction of all personnel, and the financial operation of the property within approved budgetary guidelines.

Requirements

  • Individuals must furnish their own vehicle to make bank deposits, pick up supplies and perform other duties as necessary.
  • Ability to drive without jeopardizing the safety of residents or fellow employees.
  • Ability to enter data into a computer and generate printed reports.
  • Must wear appropriate career apparel.

Nice To Haves

  • Prior training in budget preparations and analyzing reports, marketing, and human resource management is preferred.
  • Completion of in-house training in the use of Real Page OneSite is required within the first 90 days of employment.

Responsibilities

  • Manage the day-to-day operations of the property to meet cash flow objectives.
  • Maximize gross potential rent and minimize vacancy by establishing rent concessions, lease parameters, and commission schedules.
  • Collect rent, adhering to company guidelines, including daily bank deposits, inputting accounts receivable, managing rent increases, miscellaneous income, collections, and bad debt write-offs.
  • Actively pursue delinquent accounts and initiate eviction proceedings as appropriate and according to company guidelines, complying with local laws and mandates.
  • Accurately maintain records of all financial transactions using OneSite and manual systems, validating all input.
  • Oversee the accounting system closing each month, producing, analyzing, and submitting month-end reports.
  • Prepare the property’s annual budget and business plan.
  • Comply with any income-restricted or affordable income programs.
  • Monitor and manage all property expenses within established budget guidelines, notifying the Regional Manager of possible variations.
  • Review invoices for accuracy and resolve discrepancies.
  • Appropriately code accounts payable items.
  • Explore and implement cost reduction opportunities with approval.
  • Approve all budgeted property expenditures and process purchases by Purchase Order.
  • Maintain the site petty cash account and submit reimbursement requests.
  • Initiate the process and issuance of Security Deposit Refund checks to vacate residents within legal guidelines.
  • Aggressively pursue recovery of turnover costs.
  • Orchestrate an organized, precise operational program for the property, including site files, records, tenant relations, and office management.
  • Lease or supervise leasing of apartments by showing models and available units, and aggressively selling the property's products and services.
  • Develop, refine, and effectively implement excellent telephone and personal sales skills.
  • Review and approve all rental applications adhering to the Rental Criteria Sheet and the Company’s nondiscrimination policy.
  • Train, motivate, and supervise on-site employees in all leasing paperwork and techniques.
  • Develop and implement marketing strategies to increase property traffic, maintain closing ratios, and exceed budgeted occupancy percentages.
  • Review all marketing materials and ads.
  • Work with or participate in local or neighborhood business associations or groups and establish referral programs.
  • Keep abreast of any policy or law changes in the area and ensure compliance with local and federal requirements.
  • Oversee the ongoing physical upkeep and repair of the project, maintaining the property to high industry standards for cleanliness and curb appeal.
  • Continually inspect the property to identify areas of concern from liability and aesthetic aspects.
  • Ensure residents are provided with a clean, safe, well-maintained community.
  • Supervise and direct the maintenance staff in ongoing and preventative maintenance programs.
  • Ensure turnover units are prepared within 3-5 days after vacating to high standards.
  • Train or provide ongoing training for maintenance personnel regarding safety, industry updates, and equipment/product services.
  • Supervise all outside vendors and subcontractors, ensuring acquisition of appropriate insurance or liability documentation.
  • Monitor maintenance requests, ensuring all are addressed on an "on-call" basis within 24 hours, notifying residents of any delays.
  • Adhere to all maintenance and purchasing directives.
  • Continually evaluate ways to improve services and facilities for quality, efficiency, and economy.
  • Be responsible for the hiring, training, and ongoing supervision of the entire project staff.
  • Enforce fair, nondiscriminatory policies and procedures for staff training and employment.
  • Provide proper employee orientation and training.
  • Continually evaluate employee performance and perform written evaluations, making recommendations for salary, promotions, advancements, or terminations.
  • Establish appropriate work schedules and approve time off requests for adequate coverage.
  • Inform and assist staff members with the benefits package, directing them to Human Resources as appropriate.
  • Post and update required governmental and employment information publications.
  • Adhere to all company personnel directives.
  • Develop and keep updated an Emergency Policies and Procedures Manual, reviewing it quarterly.
  • Conduct weekly staff meetings to provide input opportunities, set goals, and discuss procedures.
  • Provide accurate payroll information to the Human Resources Department according to schedule and policies.
