About The Position

The Community Manager is a high-trust, high-impact role responsible for enabling seamless day-to-day operations across office management and cross-functional coordination. This individual operates at the center of the business — supporting executives, driving administrative excellence, and ensuring operational consistency across offices, events, and people-related initiatives. While junior in title, this role carries significant responsibility, visibility, and scope. Success requires strong judgment, precision, responsiveness, and the ability to anticipate needs before they arise.

Requirements

  • 2–3 years of experience in operations, administration, executive support, or office coordination
  • Strong organizational and time management skills with a track record of managing multiple priorities without sacrificing quality
  • High attention to detail and consistent follow-through on commitments
  • Strong problem-solving skills and ability to think on your feet
  • Proficiency in Google Workspace (Docs, Sheets, Calendar, Slides)
  • Daily use of AI tools to automate workflows, streamline administrative tasks, and solve problems.
  • Consistently evaluate processes to identify and implement new AI-driven opportunities that enhance output, accuracy, and speed.

Responsibilities

  • Perform daily walkthroughs to ensure all office spaces — conference rooms, kitchen, and common areas — are stocked, orderly, and guest-ready
  • Manage office supply inventory: monitor stock levels, prepare replenishment orders, and coordinate deliveries
  • Coordinate with vendors and facilities contacts; route invoices and procurement requests to the appropriate teams
  • Receive and process all incoming packages and deliveries; determine routing and communicate with recipients
  • Serve as point of contact and liaison for building maintenance requests and IT escalations
  • Maintain workstation readiness by ensuring all desks and areas are fully equipped and operational
  • Act as a steward of the office environment, treating the workspace as a meaningful reflection of our culture and a critical component of the daily employee experience.
  • Own the weekly office lunch program: maintain the rotating department schedule and confirm orders with catering vendors
  • Coordinate food orders for recurring internal programs (e.g., Ted Academy AI Sessions: pizza delivery on Tuesday evenings)
  • Assist with setup, service, and cleanup for catering orders tied to internal events, offsites, and team gatherings
  • Manage ad hoc catering requests with no oversight needed
  • Support intern program operations including scheduling, communications, and onboarding preparation for large cohorts
  • Assist in coordinating logistics for quarterly departmental meetings and off-sites
  • Execute special projects with speed, accuracy, and minimal oversight
  • Track deliverables, manage timelines, and ensure follow-through
  • Identify gaps, solve problems in real time, and escalate risks proactively
  • Prepare materials and coordinate logistics for meetings and initiatives under the direction of Executive Assistant
  • Handle correspondence, follow-ups, and documentation with speed and accuracy
  • Maintain high standards of confidentiality, accuracy, and responsiveness
