About The Position

Miami Environment & Energy Solutions (MEES) is seeking a Communications Specialist to provide correspondence management support for federal government senior executives, program office, project team, and stakeholders. This role involves planning, tracking, and scheduling of project activities and tasks, gathering and analyzing technical information, and preparing communications and reporting deliverables. The specialist will also establish schedules for document production and conduct quality assurance to ensure standards are met. MEES is a wholly owned entity of the Miami Tribe of Oklahoma, certified as a Tribal 8(a) business and a Small Disadvantaged Business.

Requirements

  • 2+ years of related experience
  • Proficient in Microsoft Office Suite
  • Excellent verbal, interpersonal, and written communication skills
  • Ability to multitask in a fast-paced environment
  • Strong attention to detail required
  • Good track record as evidenced by favorable reference checks
  • Ability to obtain and maintain a security clearance.

Nice To Haves

  • Bachelor’s degree preferred
  • Experience working with American Indian and Alaska Native communities preferred
  • Experience working directly for or with federal health agencies strongly preferred

Responsibilities

  • Work with clients at the U.S. Department of Health and Human Services to plan and implement communications activities to advance their mission.
  • Receive, review, and process incoming correspondence, including letters, memos, emails, and other forms of communication.
  • Ensure accurate and complete documentation of all incoming and outgoing correspondence.
  • Maintain a tracking system for correspondence, including assignment of appropriate action officers and tracking the status of each item.
  • Document standard operating procedures and guidelines for correspondence management processes.
  • Finalize approved responses and ensure timely delivery to the appropriate recipients.
  • Comply with NARA standards for document management.
  • Maintain a database or electronic filing system for easy retrieval and reference of correspondence.
  • Conduct thorough reviews of outgoing correspondence to ensure accuracy, clarity, consistency, and adherence to established standards.
  • Verify the proper use of templates, formats, and styles in correspondence.
  • Coordinate with relevant stakeholders to gather information and draft responses to correspondence, ensuring adherence to established guidelines and policies.
  • Perform proofreading, editing, and formatting tasks as necessary.
  • Cross-reference information and data to ensure consistency and accuracy across different correspondence items.
  • Prepare (write) draft replies for review and approval by designated officials.
  • Contribute to daily, weekly, and monthly reports.
