About The Position

Under direct supervision of the Office Supervisor, the communications operator is the first contact between the patient and physician. The communications operator’s primary duty is to always answer the telephone in a polite and courteous manner. Team member will, at all times, respond to patients, visitors and fellow team members in a pleasant, helpful and professional manner.

Requirements

  • High school diploma or equivalency.
  • Ability to maintain appropriate, professional conduct and appearance at all times, following office dress code consistently.
  • Ability to complete work in an established time frame, seek appropriate tasks when primary tasks are completed or pace is slow.
  • Ability to demonstrate willingness to perform other duties to assist the team effort for the benefit of the patients, physicians and fellow team members.
  • Ability to consistently arrive at work on time and complete all tasks or arrange for coverage before leaving for the day or lunch.
  • Ability to maintain desk and business areas in a professional, neat manner.

Nice To Haves

  • Experience operating a multi-line switchboard preferred.

Responsibilities

  • Answer telephone calls promptly. Assist callers as needed (i.e., scheduling appointments, verifying directions, etc.).
  • Screen and direct calls to appropriate personnel and take messages when necessary.
  • Retrieve and process voicemails hourly to ensure a timely response.
  • Remain up-to-date with all scheduling protocols and physician preferences to ensure smooth patient flow.
  • Monitor incoming appointment requests from the patient portal and respond in a timely fashion.
  • Assist with bulk mailings, preparing labels (i.e., recall cards, address, files, etc.).
  • Process mail incoming, outgoing and courier deliveries when necessary.
  • Handle other duties as assigned.
