About The Position

The Commissioning Document Control Specialist plays a critical role in ensuring the accuracy, organization, and accessibility of all documentation related to commissioning activities within professional, scientific, and technical service projects. This position is responsible for managing the lifecycle of commissioning documents, including creation, review, distribution, and archiving, to support project teams and stakeholders effectively. The specialist ensures compliance with industry standards, client requirements, and internal quality controls, thereby facilitating smooth project execution and successful commissioning outcomes. By maintaining meticulous records and coordinating document workflows, this role helps mitigate risks associated with documentation errors or omissions. Ultimately, the specialist contributes to the overall efficiency and quality assurance of commissioning processes across diverse projects in the United States.

Requirements

  • High school diploma or equivalent; Associate’s or Bachelor’s degree in a related field preferred.
  • Minimum of 3 years of experience in document control, preferably within commissioning, engineering, or technical services environments.
  • Proficiency with document management software and Microsoft Office Suite.
  • Strong organizational skills with attention to detail and accuracy.
  • Ability to interpret technical documents and follow established procedures.

Nice To Haves

  • Experience with commissioning processes and technical documentation in professional, scientific, or technical service industries.
  • Familiarity with industry standards such as ISO 9001 or equivalent quality management systems.
  • Certification in document control or records management (e.g., AIIM, ARMA).
  • Experience using project management and collaboration tools such as SharePoint, Aconex, or similar platforms.
  • Excellent communication skills to liaise effectively with multidisciplinary teams.

Responsibilities

  • Manage and maintain all commissioning documentation, including plans, reports, checklists, and correspondence, ensuring accuracy and completeness.
  • Coordinate document control processes by receiving, reviewing, distributing, and archiving commissioning documents in accordance with project protocols and standards.
  • Collaborate with commissioning engineers, project managers, and other stakeholders to ensure timely updates and revisions of documentation.
  • Implement and enforce document control procedures to maintain compliance with regulatory requirements and client specifications.
  • Utilize document management systems to track document status, revisions, and approvals, providing regular reports to project leadership.
  • Support audits and quality assurance activities by preparing and presenting required documentation and records.
  • Train and assist team members on document control best practices and software tools.
